Our client is a specialist healthcare provider delivering high-quality cardiac care and patient services across the United Kingdom. They are looking for a highly organised compassionate and proactive Healthcare Administrator to support the day-to-day operations of their growing private cardiology practice.

This role is best suited for someone with a minimum of three years experience in healthcare administration and previous experience supporting UK-based clients. The successful candidate will serve as the primary point of contact for existing patients coordinate with NHS and private healthcare providers manage patient correspondence and follow up on referrals investigations and clinical documentation. The ideal candidate will possess excellent communication skills exceptional attention to detail a patient-centred approach and the ability to handle confidential medical information with professionalism and discretion while working in accordance with UK GDPR and practice policies.

JOB DESCRIPTION:

Key Responsibilities:
Serve as the first point of contact for new or existing patients providing professional compassionate and timely support via telephone and email.
Answer and manage incoming patient calls addressing enquiries or escalating matters where appropriate.
Prepare format and send patient correspondence medical letters reports and other administrative documentation.
Liaise with private hospitals GP practices consultants and other healthcare providers to obtain updates on referrals investigations appointments and clinical reports.
Proactively chase outstanding investigations diagnostic results and patient-related documentation to ensure timely follow-up.
Maintain accurate and up-to-date patient records using the practices proprietary systems and other administrative platforms.
Handle confidential patient information in accordance with UK GDPR and the practices data protection policies.
Coordinate with the Practice Manager Physician Associate/Assistant and wider clinical team to support the delivery of high-quality patient care.
Assist with appointment coordination and administrative follow-up as required.
Ensure all patient communications are handled with empathy professionalism and discretion particularly when supporting individuals with heart health conditions.
Monitor shared inboxes and respond to patient and healthcare provider enquiries in a timely manner.
Maintain a high standard of accuracy organisation and attention to detail while managing multiple priorities in a fast-paced remote environment.
Carry out other administrative duties as assigned to support the smooth operation of the practice.

Qualifications:
At least 3 years of experience supporting UK-based clients or working within a UK business environment.
Excellent spoken and written English with a professional and confident telephone manner.
Strong customer service skills with the ability to communicate compassionately with patients experiencing heart health conditions.
Previous experience supporting a UK healthcare provider private medical practice hospital or specialist clinic.
Familiarity with NHS and private healthcare pathways.
Understanding of UK GDPR and patient confidentiality requirements (training will be provided).
Experience using electronic medical records (EMR/EHR) or practice management systems.
Exceptional organisational and time management skills with strong attention to detail.
Experience handling confidential and sensitive information with professionalism.
Comfortable communicating with hospitals clinics and healthcare professionals via telephone and email.
Proficient in Microsoft Office and web-based systems.
Ability to work full-time during UK business hours.
