Role description:
We are looking for a detail-oriented and customer-focused Global People Shared Services Operations Specialist II to join our Global People Shared Services this role you will deliver high-quality HR operational support across multiple countries including the United States Canada Australia and the Philippines. You will serve as a key point of contact for employees managers and People teams ensuring a seamless employee experience through the accurate and timely execution of People processes case management data administration and policy guidance.
Working closely with People Business Partners Talent Acquisition Payroll Benefits Finance and other stakeholders you will contribute to service excellence operational efficiency compliance and continuous improvement initiatives while building expertise across a broad range of People operations processes and technologies.
Role accountabilities:
People Operations Support and Service Delivery
- Delivers high-quality support through shared services channels efficiently resolving inquiries and service requests while escalating complex or sensitive matters to the appropriate teams when required.
- Educates employees and stakeholders on People processes programs and self-service tools promoting understanding compliance and effective utilization of available resources.
- Maintains a strong customer-focused approach ensuring all interactions are handled with professionalism empathy confidentiality and accountability.
- Performs end to end People administration activities across the employee lifecycle including hiring onboarding job changes employee data updates offboarding and organizational changes.
- Manages employee inquiries and service requests through case management tools (People Assist) ensuring timely resolution in accordance with SLAs KPIs and operational standards.
- Processes transactions accurately and in a timely manner within People systems ensuring compliance with established procedures service standards and approval requirements.
- Maintains data integrity across People technology platforms by reviewing validating and correcting employee information as needed.
- Assists Team Leaders in monitoring case volumes queues and workload distribution proactively identifying and addressing potential service bottlenecks to ensure consistent service delivery.
- Conducts quality reviews of transactions records and case resolutions to identify discrepancies mitigate risks and ensure accurate downstream processing.
- Collaborates effectively with internal stakeholders Centers of Excellence People Business Partners and external vendors to resolve issues.
- Contributes to a positive employee experience by providing responsive high-quality and customer-focused support across all supported countries and business units.
Compliance Governance & Documentation
- Ensures compliance with company policies data privacy requirements local regulations and global shared services standards.
- Supports internal and external audits by gathering documentation providing process information and participating in remediation activities when required.
- Adheres to established controls and governance requirements while identifying opportunities to strengthen operational compliance.
Continuous Improvement & Operational Excellence
- Helps to identify recurring issues service trends and process inefficiencies recommending and supporting solutions to enhance operational effectiveness.
- Participates in process improvement automation knowledge management and standardization initiatives to improve service quality and employee experience.
- Supports testing implementation and adoption of new systems enhancements workflows and process changes.
- Contributes to knowledge sharing cross training and documentation efforts to strengthen team capability and operational resilience.
Qualifications & Experience:
- Bachelors degree in any field.
- 4-5 years of experience in Shared Services HR Operations Employee Services HR Administration or People Shared Services within a corporate or multinational environment.
- Strong understanding of end-to-end employee lifecycle processes including onboarding employee data management organizational changes offboarding payroll interfaces and HR case management.
- Hands-on experience with HR systems and case management platforms preferably Oracle HCM and People Assist or equivalent technologies.
- Demonstrated ability to manage employee inquiries process transactions and resolve issues while maintaining high levels of customer satisfaction.
- Strong analytical and problem-solving skills with the ability to interpret data identify trends and recommend solutions.
- Excellent attention to detail and commitment to data accuracy compliance and process consistency.
- Strong written and verbal English communication skills with the ability to engage effectively with employees and stakeholders at all levels.
- Demonstrates professionalism sound judgment confidentiality and discretion when handling sensitive employee information.
- Collaborative adaptable and effective in working with global teams across multiple countries and time zones.
- Highly organized and capable of managing competing priorities in a fast-paced shared services environment.
- Experience supporting continuous improvement process optimization automation or service enhancement initiatives is highly desirable.
