Finance and Accounting Administrator

Kaiko Systems is a maritime technology company part of the UniSea group serving shipping customers internationally. As Finance and Accounting Administrator you keep the monthly cycle running the invoicing accurate receivables collected supplier documents in the system and the records clean enough for accurate reports to be built from them.

This role is perfect for someone who wants ownership rather than a narrow task list. You will be the second person in finance working closely with - and reporting to- the Finance and Operations Manager and over time taking on more close reporting work.

Run the monthly invoicing cycle and check invoices for accuracy before they are issued.

Manage accounts receivable statements of account credit notes ageing and active collections including follow-up with customers.

Handle customer queries directly and independently copy invoices statements payment confirmations account and contact changes and standard payment follow-up.

Submit invoices to customer procurement portals and monitor responses.

Process accounts payable supplier invoices receipts and expense documentation including chasing what is missing.

Support month-end close postings uploads completeness checks accruals and reconciliations.

Prepare inputs for monthly reporting and variance analysis and flag anything inconsistent.

Maintain subscription customer and supplier records.

Document processes so that routines are repeatable by others.

Provide Finance and Operations Manager with progress updates and attend weekly reviews.

Take on ad-hoc analysis corrections and requests as they arise.

The Role

Full-time 40 hours a week remote

The role is Philippines-based but our headquarters are in Europe so working hours need to overlap with EU time zones by at least 4 hours a day

Contractor agreement for the first 3 months (probationary period) with potential conversion to local employment.

BS Accountancy BS Management Accounting or BSBA Financial Management. CPA is neither required nor expected.

3 to 5 years in accounts receivable and accounts payable or in general accounting covering both.

Practical experience of the receivables cycle - invoicing statements of account credit notes collections and AR ageing and of payables: supplier invoices expense documentation and vendor queries. Data entry or invoice processing alone is not enough.

Exposure to month-end close and management reporting - P&L cash flow budget variance. You need not have owned the reports but you should understand how transactional records become reported figures and why a missed upload or an unapplied subscription change distorts them.

Able to reconcile - check that two sets of numbers agree find the difference when they do not and explain it.

Clear professional written English directly to customers. This role answers customer emails not only internal ones.

Comfortable asking customers for money - politely and without being prompted.
