Role Overview

We are seeking a highly organized and proactive Executive Assistant to support senior leadership in day-to-day operations communication management scheduling and administrative coordination. The ideal candidate is detail-oriented resourceful and comfortable working in a fast-paced remote environment while collaborating with cross-functional teams across U.S. operations.

Key Responsibilities
  • Manage executive calendars schedule meetings and coordinate appointments across multiple time zones.
  • Prepare meeting agendas take notes track action items and follow up on outstanding tasks.
  • Coordinate internal communication document management and executive administrative support activities.
  • Assist with reporting spreadsheet tracking presentation preparation and operational coordination projects.
  • Maintain confidentiality while handling sensitive business and employee information.
Required Qualifications
  • Bachelors degree or equivalent practical experience.
  • 13 years of experience in an Executive Assistant Administrative Coordinator Operations Coordinator or similar support role.
  • Strong proficiency in Microsoft Office and Google Workspace including Excel/Google Sheets Outlook/Gmail and PowerPoint/Slides.
  • Excellent written and verbal English communication skills.
  • Strong organizational skills with the ability to manage multiple priorities independently.
  • Reliable internet connection and a professional remote work setup.
Preferred Qualifications
  • Experience supporting U.S.-based executives or remote teams.
  • Familiarity with tools such as Microsoft Teams Zoom Calendly or similar business applications.
  • Experience with HR recruitment coordination or operations support is a plus.
  • Prior experience in property management real estate or a fast-growing startup environment is preferred.
