Role Overview
We are seeking a highly organized and proactive Executive Assistant to support senior leadership in day-to-day operations communication management scheduling and administrative coordination. The ideal candidate is detail-oriented resourceful and comfortable working in a fast-paced remote environment while collaborating with cross-functional teams across U.S. operations.
Key Responsibilities
Manage executive calendars schedule meetings and coordinate appointments across multiple time zones.
Prepare meeting agendas take notes track action items and follow up on outstanding tasks.
Coordinate internal communication document management and executive administrative support activities.
Assist with reporting spreadsheet tracking presentation preparation and operational coordination projects.
Maintain confidentiality while handling sensitive business and employee information.
Required Qualifications
Bachelors degree or equivalent practical experience.
13 years of experience in an Executive Assistant Administrative Coordinator Operations Coordinator or similar support role.
Strong proficiency in Microsoft Office and Google Workspace including Excel/Google Sheets Outlook/Gmail and PowerPoint/Slides.
Excellent written and verbal English communication skills.
Strong organizational skills with the ability to manage multiple priorities independently.
Reliable internet connection and a professional remote work setup.
Preferred Qualifications
Experience supporting U.S.-based executives or remote teams.
Familiarity with tools such as Microsoft Teams Zoom Calendly or similar business applications.
Experience with HR recruitment coordination or operations support is a plus.
Prior experience in property management real estate or a fast-growing startup environment is preferred.
