Job Summary

This role is primarily responsible for providing administrative support and coordination to recruiting operations including onboarding and post-acceptance activities in compliance with the service level agreements processes policies and procedures.  

  • Create and distribute assigned offer letters 

  • Collects onboarding documentation and processes  

  • Process requests relevant administer changes of assigned offer letters 

  • Acts as point of contact for all questions related to pre-employment activities from candidates relevant prehire actions to the recruiting processes hiring managers and HR 

  • Ensures compliance with all state and corporate regulations and laws  

  • Ensures strict adherence with standard protocols for electronic personnel file management and document storage  

  • Orders background checks tracks completion and assists in review and analysis of results 

  • Prepares and communicates candidate background check clearances 

  • Connects with relevant key stakeholders and support groups to assist with onboarding account creation set-up and IT requisition 

  • Ensures all regional onboarding notification systems and processes are followed and updated to ensure local stakeholders are continuously informed 

  • Performs and tracks onboarding data entry for large volume of hires 

  • Ensures accuracy of all data processed and entered in HR systems 

  • Engages and builds relationships with hiring team (hiring managers and recruiters) 

  • Escalates and analyzes identified issues and concerns to the Team Lead for timely resolution  

  • Keeps oneself updated of current processes and incorporates documentation updates  

  • Supports selected simple process improvements to streamline processes   

 


Qualifications :

Minimum Requirements:  

  • Degree in Human Resources or a related field  

  • Intermediate proficiency in MS Office tools 

  • Basic knowledge and understanding of HR processes and procedures (creation of offer letters facilitation of background check and maintenance of employee data records) 

  • At least 2 years of working experience in an outsourcing shared services or similar model with compensation-related role or other similar functions is preferred  

  • Experience using Workday SmartRecruiters ServiceNow or other similar platforms and tools is preferred
