Job Description:
We are seeking a Construction Estimating & Operations Coordinator to support a growing residential construction company specializing in custom single-family homes remodels and rebuild projects. This role is designed to take estimating material coordination project cost tracking and operational support off the founders plate so project workflows can move faster and more efficiently.
The role combines construction takeoffs bid preparation material ordering cost tracking and invoicing support. The ideal hire should be comfortable reviewing plans assisting with takeoffs organizing bid information coordinating material orders and tracking labor and project costs throughout the lifecycle of a construction project.
This is not a general administrative role. The ideal candidate should have a strong understanding of residential construction workflows be highly organized and capable of supporting operational execution with minimal supervision.
Engineering or construction-related technical backgrounds are a strong advantage but practical construction operations experience is the core priority.
Key Responsibilities:
Construction Takeoffs & Bid Preparation
Review construction plans and assist with project takeoffs
Measure and organize material quantities based on plans and specifications
Prepare bid spreadsheets and support pricing workflows
Organize takeoff information into the companys bid format for review and submission
Support bid preparation across 46 active projects per month
Material Ordering & Procurement Coordination
Coordinate ordering of specialized construction materials based on approved bids
Track material requirements and purchase timing for active projects
Follow up with suppliers regarding pricing availability and order timelines
Help transition bid information into active procurement workflows
Project Cost Tracking & Change Orders
Track labor usage employee hours and project cost progress against original bid estimates
Monitor project spending and identify potential overruns
Support change order tracking and documentation
Maintain visibility on project budget performance
Invoicing & Administrative Support
Support invoicing workflows tied to approved bids and active project progress
Assist with project documentation billing records and financial tracking
Help maintain accurate internal records tied to project costs and materials
Support operational admin tasks tied to project execution
Meeting & Workflow Coordination
Attend internal and architect-facing project meetings for project context and planning support
Capture relevant project details to improve bid accuracy and planning
Support workflow continuity between sales conversations estimating and execution
Help improve internal operational workflows as the company grows
Qualifications:
Required
35 years of experience in construction estimating construction coordination project administration or construction operations
Strong understanding of residential construction plans and building workflows
Experience supporting construction takeoffs bid preparation or quantity estimating
Experience coordinating material orders and supplier communication
Strong spreadsheet skills for bid preparation cost tracking and pricing organization
Strong organizational skills and ability to manage multiple active projects
Strong written and verbal communication skills
Ability to work independently and execute with minimal supervision
Ability to attend meetings with US-based overlap
Preferred
Engineering construction management or architecture-related educational background
Experience reading CAD or construction drawings
Experience with QuickBooks for invoicing and billing workflows
Spanish-speaking ability for subcontractor communication
Experience supporting U.S.-based residential construction companies
