Job Summary
This is a remote position.
The Client Services Officer plays a key role in supporting the smooth and efficient operation of the firm. The position acts as an important point of contact for clients while providing administrative corporate secretarial and client service support to the broader team.
The role is responsible for managing corporate secretarial matters ASIC-related requirements shared inboxes client correspondence registrations and general administrative tasks. The successful candidate will demonstrate strong attention to detail excellent communication skills sound organisational ability and the capacity to manage multiple priorities while maintaining a high level of accuracy and professionalism.
Client Service & Communication
- Answer screen and transfer incoming phone calls in a professional and timely manner.
- Respond to client enquiries and administrative requests promptly and professionally.
- Provide reliable and efficient support to clients and internal team members.
- Manage client correspondence and ensure requests are followed up and completed within required timeframes.
ASIC & Corporate Secretarial Services
- Manage and monitor the ASIC Bot ensuring exceptions are identified investigated and resolved promptly.
- Process company changes and complete required ASIC lodgements.
- Assist with company incorporations trust establishments and superannuation fund establishments.
- Prepare and lodge applications for ABN TFN GST and PAYG registrations.
- Attend to general ASIC-related tasks and other corporate secretarial requirements as required.
- Ensure all corporate records documentation and lodgements are accurate and completed within required deadlines.
Post Bot & Correspondence Management
- Manage and monitor the Post Bot daily.
- Process and distribute correspondence as required.
- Respond to queries relating to incoming and outgoing correspondence.
- Ensure correspondence is actioned and appropriately recorded in a timely manner.
Shared Inbox & Administrative Support
- Monitor and manage shared inboxes ensuring client requests are allocated and actioned promptly.
- Send documents to clients for review and signature and follow up where required.
- Coordinate and assist with the lodgement of tax returns and related documentation.
- Respond to client and internal administrative requests.
- Maintain accurate records and ensure outstanding matters are followed up to completion.
- Provide general administrative support to the Business Services Manager and broader team.
- Assist with day-to-day operational and administrative tasks.
- Proactively identify and assist in resolving client service issues.
- Contribute to the improvement of systems processes procedures and workflows.
- Respond to internal requests for business information accurately and within required timeframes.
- Provide administrative assistance to directors and employees as required.
- Support other team members during periods of increased workload or as business priorities require.
- Undertake other reasonable ad hoc duties as directed by management.
- Previous experience in client services administration corporate secretarial support accounting taxation legal or professional services.
- Experience working with ASIC-related processes and corporate secretarial matters is highly desirable.
- Familiarity with Australian business registrations including ABN TFN GST and PAYG.
- Strong administrative and organisational skills with excellent attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks competing priorities and deadlines effectively.
- Strong computer literacy and confidence working with online systems workflow platforms shared inboxes and automated processes.
- Ability to work independently while also contributing effectively within a team.
- Strong problem-solving skills and a proactive approach to resolving issues.
- High level of professionalism and commitment to maintaining client confidentiality.
- Ability to quickly learn new systems processes and technologies.

Required Skills:
Qualifications & Experience Previous experience in client services administration corporate secretarial support accounting taxation legal or professional services.
