About the Role
This role exists to give our Project Managers leverage.
With multiple properties in progress at once our PMs need a detail-driven partner to own the coordination documentation and financial reporting that keeps every project moving and critically to keep monthly lender draw packets accurate and on time. You will sit at the center of communication between PMs contractors vendors and hotel operations teams turning scattered updates into clean schedules budgets and reports the whole team can trust.
This is a role for someone who wants to grow in hospitality development and construction and who takes ownership of the details rather than waiting to be asked.

Key Responsibilities
Project Coordination & Scheduling
- Support Project Managers through the planning and execution of CapEx renovation and new-development projects across multiple hotels
- Build and maintain project schedules and trackers; monitor milestones and flag slippage early
- Coordinate and manage smaller projects with growing independence over time
- Maintain project documentation including contracts change orders and project plans
- Track outstanding change orders and follow up to keep approvals moving
- Support vendor onboarding and compliance tracking (e.g. certificates of insurance)
- Organize project close-out documentation
- Track project expenses against budget and surface variances before they become problems
- Prepare monthly draw packets for lenders ensuring supporting documentation is complete and accurate
- Assist with monthly financial reports and schedule updates for internal stakeholders
- Communicate project updates and progress to PMs contractors and hotel operations teams
- Schedule meetings and coordinate logistics for project-related events
- Document coordination meetings and circulate clear status updates
- Prepare reports for internal team members
Required Qualifications
- 2 years of experience in project management project coordination or construction/real estate administration
- Strong organizational skills and a high standard for accuracy and detail
- Excellent written and verbal communication skills across multiple stakeholders
- Proven ability to work in a fast-paced deadline-driven environment
- Strong problem-solving skills and the ability to work both independently and as part of a team
- Proficiency in project management and reporting tools such as Smartsheet Word and Excel
Preferred Qualifications
- Experience supporting construction renovation or real estate development projects
- Familiarity with construction financials budgets change orders and the lender draw process
- Exposure to hospitality or hotel operations
- Bachelors degree in Construction Management Business Architecture or a related field
- Highly organized and detail-obsessed nothing falls through the cracks on your watch
- Comfortable owning numbers budgets and financial documentation not just schedules
- Proactive you follow up chase down missing information and anticipate what the PM needs next
- A clear communicator who can keep contractors vendors and operations teams aligned
- Calm and effective when several projects are moving at once
- Genuinely interested in hospitality construction and development and eager to grow in it
