Hexie VA Supporting a U.S. Law Firm

At Hexie VA we are looking for an Intake Specialist to join our team and support one of our main clients a U.S.-based law this role you will play a crucial part in ensuring clients receive the best possible experience while their cases are being handled.

This position combines customer service client onboarding and soft-sales skills. We are looking for candidates who are empathetic confident communicators and comfortable speaking with potential clients over the phone.

About the Role

Intake Specialists are part of a devoted and exceptionally important team at our client. This is a sales-focused position where you will speak with potential clients to understand their needs help them feel comfortable position the firm as a solution to their situation and guide them through the onboarding process.

This is not a cold-calling role you will only work with people who have already reached out to the firm seeking assistance.

The role requires strong communication skills emotional intelligence organization and the ability to thrive in a fast-paced environment.

Schedule

This role has a unique schedule:

  • Regular Schedule: Wednesday to Sunday 9:30 AM 6:00 PM PST (Washington State Time)
  • Training Schedule (First Weeks): Monday to Friday 8:30 AM 5:00 PM PST

This is a fully remote position.

Key Responsibilities
  • Handle a high volume of inbound calls texts and emails independently
  • Quickly engage with new leads and potential clients
  • Manage and track leads using internal software
  • Conduct detailed intake interviews over the phone
  • Qualify and sign potential clients using a customer-focused soft-sales approach
  • Help onboard new clients into the system
  • Maintain professionalism empathy and organization throughout the process
Experience & Qualifications
  • Minimum 2 years of experience in sales customer success account management intake or client onboarding
  • At least 1 year of recent experience in a fast-paced office environment
  • Advanced English and Spanish fluency (C1 preferred)
  • Strong communication and interpersonal skills
  • Experience meeting goals or performance metrics is preferred
  • Professional services or B2C experience is a plus
  • Associate degree or higher is preferred

Candidates must have:

  • Their own laptop or desktop computer
  • Headset or headphones with microphone
  • Stable internet connection
  • Quiet and professional work environment

Required Skills:

Bachelors degree in Law Legal Studies or a related field. Proven experience as a paralegal or legal assistant preferably with a U.S.-based law firm. Strong understanding of U.S. legal systems processes and terminology. Proficient in legal research tools (e.g. Westlaw LexisNexis) and office software (e.g. Microsoft Office Google Workspace). Highly organized with strong attention to detail and ability to manage multiple tasks simultaneously. Reliable internet connection and ability to work U.S. business hours. Advanced level of english is mandatory Have a laptop/desktop and headphones to do the job Steady internet connection Previous experience in a similar field in english will be highly considered but not mandatory 100% remote work
