- Part-time positions available with a minimum of24 hours per week and up to 36 hour per week (please indicate on your cover letter your availability)
- The shifts are 12 hours 7.30am to 8pmcovering 7 days per week
Join our dedicated Neonatal Service and play an importantrole in supporting babies parents whānau and the clinical team.
We are looking for an organised compassionate and reliableWard Clerks to provide high-quality reception and administrative support withinour Neonatal Intensive Care Unit (NICU).
This is a varied role where no two days are quite the will be an important first point of contact for parents whānau visitorsand staff while providing the administrative support that helps our clinicalteam deliver safe and effective care.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 3/Profile 3 Step 1 to 3 (final placement step is dependent on skills knowledge and experience)

About the role
As Ward Clerk you will provide a range of administrativeand clerical support including:
- Providing reception and telephone support for the Neonatal Service.
- Welcoming and appropriately directing parents whānau and visitors to the NICU.
- Responding promptly and professionally to telephone calls and accurately recording messages.
- Maintaining confidentiality and ensuring patient privacy requirements are always upheld.
- Supporting the Associate Clinical Nurse Manager with staffing requirements including contacting staff when additional cover is required and maintaining accurate roster information in Microster.
- Maintaining accurate and up-to-date patient information clinical documentation and electronic records.
- Preparing and maintaining patient files filing laboratory and radiology reports monitoring file movement and ensuring documentation is available when required.
- Updating patient management systems including admissions discharges transfers and other relevant patient information.
- Supporting outpatient and follow-up appointments and communicating arrangements to parents.
- Maintaining accurate neonatal activity referral and statistical information.
- Assisting with travel arrangements for NICU patients and maintaining accurate transport documentation.
- Providing general office support including stationery management photocopying incoming mail and maintenance requests.
- Providing administrative support for Ophthalmology clinics held within the NICU.
- Supporting parents and rooming-in families with practical administrative requirements.
- Assisting with ensuring breast milk labels are available and daily meal menus are completed and submitted to Food Services.
- Participating in team activities staff orientation and a positive team culture.
- Following Neonatal Service and hospital emergency procedures and maintaining accurate fire and evacuation information.
About you
We are looking for someone who is organised calm underpressure and genuinely enjoys helping people. You will be comfortable workingin a busy clinical environment where priorities can change quickly andattention to detail is essential.
You will bring:
- Previous administration experience ideally within a healthcare environment.
- Strong communication and interpersonal skills.
- Excellent telephone and reception skills.
- The ability to communicate sensitively and professionally with parents whānau visitors and clinical staff.
- Knowledge and experience of medical filing and data collection processes.
- Basic to intermediate computer skills including familiarity with Microsoft Word and Excel.
- The ability to operate common office equipment such as telephones fax and photocopier systems.
- Strong organisational skills and excellent attention to detail.
- The ability to prioritise work according to the needs of the Neonatal Service.
- The ability to follow written and verbal instructions accurately.
- The ability to work both independently and as part of a multidisciplinary team.
- The ability to remain calm professional and effective when working under pressure.
- A positive attitude and commitment to supporting a strong and respectful team culture.
