Job Summary
About the Role:
The Administration Partner plays a central role in an innovative service model designed to maximise front line support across a group of Villages.
Reporting to the Operations Business Manager this role provides high-quality remote administrative support that enables Village-based teams to focus more of their time on providing exceptional customer service and resident experiences.
This is a Fixed term role until 31 March 2027. We are open to both part-time and full-time options.
Internal applicants: we are open to secondment arrangements.
Your DaytoDay Will Include:
Use your operational expertise and experience to improve how front line teams deliver exceptional customer service
Provide administration support to Village and Care teams keeping communication clear and ensuring information enquiries and requests are actioned in a timely manner.
Prepare monthly registers tools and templates making sure they are accurate consistent and available on time for Village teams.
- Resident Administration and Billing - Maintain accurate and up-to-date resident information in VCare and process and maintain accurate resident on-charging records in VCare.
- Financial Administration create and maintain purchase orders within delegated authority.
- Be the first point of contact for AP for investigating and resolving billing issues.
- Building strong working relationships across a diverse range of stakeholders and teams.
Qualifications :
About You:
Youre an organised proactive administrator with strong communication skills who enjoys bringing structure and clarity to busy environments. Youre comfortable juggling multiple priorities working autonomously and supporting stakeholders with confidence and professionalism.
You take pride in producing highquality outputs communicating clearly and finding smarter ways of working that help teams perform at their best.
To be successful in this role you will ideally have:
- Previous administration experience in the aged care and retirement living preferred.
- Proven ability to deliver great internal and external customer service build positive relationships with village teams and show genuine care for residents and their experience including when interacting remotely.
- Experience in managing accounts payable and receivable.
- Skilled in data entry and in keeping databases accurate and up to date.
Strong computer literacy especially in Microsoft Excel Copilot Word Teams Outlook and PowerPoint.
Comfortable suggesting improvements to standardised processes to help save time and use resources more efficiently.
- Able to handle confidential information with discretion and integrity.
- Highly organised and able to pick up and effectively manage multiple tasks at short notice.
- Ability to learn and adapt to existing and new software systems including AI assistance tools
- Be honest punctual and reliable.
