Role Overview
We are seeking a Project Control Advisor to support a large-scale infrastructure environment within a Dutch government organisation.
The role focuses on document management digital archiving and information control within project environments ensuring compliance structure and accessibility of project documentation throughout the lifecycle of infrastructure projects.
You will play a key role in maintaining and improving the digital project archive supporting users and ensuring correct application of document management processes and standards.
Key Responsibilities
Document & Information Management
Register classify and manage project documentation within a Document Management System (DMS)
Apply metadata standards and ensure proper document organisation and accessibility
Classify documents according to confidentiality and compliance requirements
Maintain structured project file systems and ensure consistency across documentation
Project Archive Management
Maintain an up-to-date digital project archive in line with organisational standards
Manage authorisations including granting and revoking access rights
Maintain authorization matrices and access control documentation
Create and manage default views and search structures within the DMS
Ensure correct processing of incoming internal and outgoing documents
Oversee routing of documents and emails to appropriate stakeholders
User Support & Training
Instruct and train project staff on document management processes
Coach users to ensure correct application of archiving standards
Support continuous improvement of information management practices
Governance & Compliance
Maintain documentation such as working agreements frameworks and high-value lists
Ensure compliance with internal standards and applicable regulations
Ensure archive transfers are correctly executed to central records systems
Report system issues to functional management teams
Identify and propose improvements for document management processes
Assignment Deliverables
A fully structured project archive aligned with organisational quality standards
Up-to-date document management tools including:
Authorization matrices
Work instructions and guidelines
Organizational structures and documentation frameworks
Required Qualifications
Minimum HBO-level working and thinking capacity with an MBO background in information management or equivalent
At least 2 years of experience working with a Document Management System (DMS) and digital archiving
Knowledge of document-based information management and related ICT tools (DIM environments)
Ability to independently draft work instructions and procedural guidelines
Availability for 16 hours per week for the full assignment duration
Fluent in Dutch (mandatory)
Preferred Experience
Experience with infrastructure or maintenance projects
Knowledge of relevant regulations and frameworks such as:
GDPR
Metadata standards
Public information governance regulations
Experience with Microsoft 365 / SharePoint-based records management
Familiarity with digital compliance and government information systems
