About the Role

Our client is seeking an experienced Directie Secretary to provide high-level administrative and organizational support within the Finance Management and Procurement this role you will serve as the trusted right hand to the Director ensuring smooth daily operations while supporting managers coordinating communication and contributing to the effective functioning of the department.

Key Responsibilities

* Provide executive support to the Director including managing calendars mailboxes and daily scheduling.

* Organize meetings workshops planning sessions and other departmental events.

* Prepare meeting documentation record minutes where required and follow up on agreed actions.

* Coordinate the review and approval process for management and policy documents.

* Create purchase orders process invoices and route enquiries or complaints to the appropriate departments.

* Maintain and update the departments Microsoft Teams site.

* Provide administrative support to additional managers including coordinating complex schedules and departmental meetings.

* Work closely with other management support colleagues to ensure effective collaboration.

* Assist with departmental projects and coordinate internal communication including newsletters and other communication initiatives.

* Ensure administrative processes are completed accurately and within deadlines.


Required Qualifications

* MBO Level 4 qualification in Executive Secretariat Management Assistance or a related field.

* Minimum of 3 years experience in a similar executive or management support role.

* Experience supporting senior management or executive leadership.

* Strong proficiency with Microsoft Office applications.


Preferred Experience

* Previous experience within a public sector or government environment.

* Experience working with ERP systems.

* Experience using document or case management systems.

* Experience coordinating internal communications and departmental events.
