About the Company
Our client is a premier assisted living operator managing approximately 20 locations across Michigan Ohio and Pennsylvania. We are dedicated to providing high-quality care for seniors and are currently expanding our Monterrey-based operations hub.
As we scale we are looking for a highly organized proactive professional to serve as the central anchor for our Monterrey hub and a vital support mechanism for our executive team. This high-visibility role combines high-level executive support with local office management to ensure our cross-border operations run seamlessly.
Key Responsibilities
Executive Support
Calendar & Meeting Management: Manage complex calendars for senior executives (CFO Accounting Manager and Executive Directors) scheduling cross-border meetings and coordinating across multiple US time zones.
Gatekeeping & Communication: Act as the primary liaison between executive leadership and internal/external stakeholders managing correspondence emails and phone calls with strict confidentiality.
Travel Coordination: Arrange comprehensive domestic and international travel itineraries accommodations and logistics for executives and visiting leadership teams.
Office Management & Administration
Hub Operations: Oversee the daily operations of the Monterrey office ensuring a professional productive and fully stocked working environment.
Vendor & Facility Management: Serve as the main point of contact for local building management IT support utilities and office supply vendors.
Event & Culture Coordination: Plan and execute local team events meetings and onboarding logistics for new hires entering the Monterrey hub.
Expense & Document Management: Assist with tracking office expenses processing executive expense reports and maintaining organized digital and physical filing systems.
Qualifications & Skills
Experience: 4 years of experience as an Executive Assistant Office Manager or senior administrative role preferably within an international or US-facing corporate environment.
Language Skills: Bilingual excellence is required. Fluent native-level written and verbal English and Spanish to seamlessly bridge communication between the US and Mexico teams.
Technical Proficiency: Advanced skills in Microsoft Office Suite (Word Excel PowerPoint) and Google Workspace with a strong aptitude for learning new digital administrative tools.
Soft Skills: Exceptional organizational skills high emotional intelligence and the ability to multitask effectively under pressure while maintaining discretion and a poised demeanor.
Location requirement: Ability to work full-time onsite at our Monterrey Mexico office.
