Job Summary
- To ensure effective management and security of organisational documents (both physical and digital) in compliance with regulatory and internal standards while coordinating procurement logistics including purchase orders stock transfers deliveries tagging and processing as well as forecasting supply and demand to maintain optimal stock levels and prevent overstocking or out-of-stock situations.
- Document Control: Organize classify and maintain company records in accordance with established policies.
- Retrieval & Distribution: Provide timely access to documents for staff and stakeholders.
- Compliance & Security: Ensure documents meet legal regulatory and confidentiality requirements.
- Digital Systems Management: Use document management software (DMS) to track archive and update records.
- Version Control: Monitor and manage document revisions to prevent duplication or outdated information.
- Policy Development: Assist in creating and updating document management procedures.
- Collaboration: Work with departments to streamline workflows and improve information accessibility.
- Archiving & Disposal: Oversee safe storage and authorized destruction of obsolete records.
- Replenishment of Stationery Items whenever there is a need
Qualifications :
Qualification
Bachelors degree in Information Management Business Administration Logistics or a related field (CIPS Level 4 will be an added advantage).
Experience
- 3-5 years experience in the financial sector preferably.
- Understanding of Inventory and Documents Management Principles.
- Administrative skills and ability to get organized and time management.
- Previous exposure in General banking or service industry will be added advantage (Not mandatory)
- Analytic skills and ability in report writing.
- Business acumen should be evident demonstrated through previous work experience.
- Sound experience in and good Product knowledge (e.g. KYC Vouchers Loans Home Services / VAF) and a good understanding of the various Product systems and the various functions within Product.
- Experience with document management systems (e.g. SharePoint M-Files OpenText)
- Knowledge and understanding of SAP Coupa Supply Chain and Card Management System (CMS)
- Computer literacy and knowledge of software packages such as MS word MS Excel MS PowerPoint.
- Completion of Digital Savvy module from the Future-Ready Skills curriculum will be an added advantage.
