WORKPLACE & ADMINISTRATION COORDINATOR
Job Summary
1. Workplace & Facilities Management
Ensure all offices workspaces and common areas are clean safe and well-maintained.
Coordinate repairs maintenance and improvement works.
Ensure utilities and essential workplace services remain operational.
Conduct routine workplace inspections and recommend improvements.
2. Administration & Office Operations
Manage office supplies consumables and stationery.
Coordinate courier services mail and document distribution.
Maintain administrative records and filing systems.
Support company events meetings and staff activities.
3. Vendor & Contract Management
Source and manage suppliers for office services and facilities.
Monitor vendor performance against agreed service levels.
Coordinate contract renewals and service agreements.
Review quotations and support procurement processes.
Ensure value for money across all administrative services.
4. Asset Administration
Maintain an up-to-date fixed asset register.
Coordinate issuance and return of company assets.
Conduct routine asset verification exercises.
Monitor asset maintenance and replacement schedules.
Support annual asset audits.
5. Fleet Administration
Maintain vehicle documentation insurance and licensing records.
Coordinate servicing and statutory inspections.
Support travel bookings accommodation and logistics for employees and visitors.
Maintain vehicle utilization and maintenance records.
6. Workplace Health Safety & Compliance
Coordinate workplace health and safety programmes.
Ensure compliance with occupational health and safety requirements.
Maintain emergency preparedness procedures.
Coordinate fire safety inspections and drills.
Support incident reporting and corrective actions
Requirements
Bachelors degree in Business Administration Facilities Management Procurement & Supply Chain Public Administration or a related field.
At least two(2) years experience in office administration workplace management facilities coordination or corporate services.
Experience managing vendors facilities and office operations.
Strong knowledge of workplace health and safety requirements.
Experience maintaining administrative records and asset registers.
Excellent organisational and problem-solving skills.
Highly organised and proactive.
Customer-service oriented.

High integrity and professionalism.
