Job Summary

Our client a distinguished longevity and preventive medicine practice with an ambitious growth agenda and an uncompromising standard of operational delivery is seeking a Clinic Manager of exceptional operational standing a seasoned digitally astute professional who brings genuine systems mastery strategic foresight and an unwavering commitment to operational excellence across every dimension of the practice. This is a role of considerable leadership responsibility. The successful candidate will serve as the operational architect of the practice designing and sustaining the systems processes and standards that enable the clinical team to perform at their best and every patient to experience care that is seamless consistent and of the highest quality. The right individual will be a practitioner of intelligent operations someone who thinks in frameworks acts on data and builds compliance and governance cultures that are embedded in the fabric of the organisation rather than imposed upon it. They will demonstrate a mature and sophisticated understanding of healthcare regulation a proven ability to implement and optimise digital systems and clinic management platforms and the leadership authority to hold a team to an uncompromising standard of performance and professionalism. This is not an administrative or coordination appointment. It is a senior operational leadership role for a professional who takes personal ownership of how the practice functions how it is experienced and how it continuously improves and who has the track record and the discipline to deliver on that responsibility with rigour and confidence.

KEY RESPONSIBILITIES

  • Own and continuously improve all clinic operations: scheduling patient flow facilities procurement vendor management and day-to-day service delivery to a standard that matches the quality of the clinical offering.

  • Lead the selection implementation configuration and ongoing optimization of clinic management systems electronic health record platforms billing and payment infrastructure and any other digital tools that underpin how the practice operates.

  • Design and enforce robust standard operating procedures across all clinical and non-clinical functions building a compliance culture grounded in discipline rather than checkbox-ticking.

  • Build manage and develop the non-clinical team front desk administrative and support staff establishing clear performance expectations and a culture of accountability and service excellence.

  • Oversee the practices financial operations including budget management cost control billing accuracy and financial reporting in close collaboration with the Medical Director.

  • Ensure full and ongoing compliance with applicable healthcare regulatory requirements licensing standards and clinical governance frameworks in Kenya.

  • Use operational data to drive insight: tracking patient volumes throughput service quality and cost metrics and presenting the Medical Director with analysis not just reports.

  • Act as the connective tissue between the clinical team the Business Development Manager and the front office ensuring all three are aligned informed and operating from a single operational platform.



Requirements
  • Bachelors degree in healthcare administration business management operations or a related field; a postgraduate qualification is advantageous.

  • A minimum of six years of operations management experience with at least part of that within a clinic hospital private healthcare facility or a similarly compliance-intensive service environment.

  • Demonstrated mastery of digital operations: you are not merely comfortable with systems you are someone who evaluates configures and optimises them with genuine expertise.

  • Strong command of healthcare regulatory standards clinical governance and the compliance infrastructure of a regulated medical environment in Kenya.

  • Financially literate: experienced in budget ownership cost management and producing meaningful financial reporting.

  • A structured analytical thinker who uses data to make decisions and can communicate those decisions with clarity to a senior leadership team.

  • A calm authoritative leadership style with the ability to hold a team to a high standard while maintaining a culture of respect and professionalism.

  • Excellent written and verbal communication highly presentable and comfortable operating at a senior level within a premium professional environment.

Required Skills:

A Bachelors degree or Diploma in Business administration Hospitality Medical support field or a relevant field. Qualification in hospitality management office administration front office operations or a related field is preferred. At least 5 years in a client-facing role with experience in a premium clinic luxury hotel executive services environment or a similarly high-standard setting is strongly preferred. Comfortable with scheduling software billing systems and clinic or CRM management tools. Fluent and articulate in English; proficiency in Kiswahili is a distinct advantage. Naturally warm poised and calm under pressure someone who projects ease even when managing complexity. Meticulous about detail: in records in communication and in the environment they maintain. Impeccably presented with the quiet confidence appropriate to representing a premium medical brand.
