About the Role

We are seeking a proactive Office Manager to take on a leadership role within our real estate brokerage team. As the Office Manager you will play a pivotal role in managing various administrative functions creating a positive work environment while fostering positive relationships with employees vendors and stakeholders. Reporting to the General Manager/Broker of Record your responsibilities will encompass managing the front desk team office operations facility management HR functions vendor management event coordination and beyond. What s Involved

Office Operations:

Oversee all ordering processes including cleaning supplies office supplies marketing requirements design paper kitchen supplies and equipment.

Work closely with the IT team to inform and resolve any technology issues affecting the office and team operation. Serve as the immediate point of contact for LTS and fob monitoring service vendors.

Security and Access Management:

Manage office access including ordering key fobs programming security cameras and serving as the point of contact for alarmrelated issues.

Manage monthly parking permits for the office.

Relationship Lease and Facility Management:

Oversee facility management including maintenance repairs and improvements.

Manage relationships with Distillery District property management and security as well as all other office vendors including cleaning company coffee services etc..

People Management and Human Resources:

Manage a small team of staff ensuring team functions are handled efficiently and agents and visitors receive a welcoming experience.

Act as a sounding board for all employee questions and concerns delivering effective solutions.

Handle conflict resolution between employees/teams when required.

Ensure employees are compliant with policies and procedures.

Assist with employee recruiting onboarding and offboarding processes.

Manage the Learning Management System (LMS) and knowledgesharing initiatives for staff.

Conduct engagement surveys including pulse checks for staff and agents.

Create and implement engagement survey plans to address results.

Event Planning

Utilize event planning experience to organize and execute all agent and staff social events such as office socials summer social Halloween and holiday events.

Talent Specs


5 years proven experience as an office manager at a realty brokerage and/or human resources and facility management.

Experience working within the real estate industry an asset.

Strong organizational and multitasking skills.

Excellent communication and interpersonal abilities.

Proven ability to handle confidential information with discretion.

Familiarity with HR processes technology people management and conflict resolution.

Possess strong people management and teambuilding skills.

Experience in event planning and relationship management.

Ability to work inoffice in the Distillery District Monday to Friday 9am5pm with availability in evening and weekends when assistance is required.
