Project Coordinator for RFP Coordination and Logistics: Support RFP Lead (direct manager for this position) in managing the daytoday coordination and logistics associated with an RFP process for social media management services including coordinating tasks maintaining timelines and organizing core team resources and external vendors to ensure the smooth execution of the RFP.
Core Team Coordination:
Enhance and maintain a detailed project timeline and schedule for the RFP process ensuring adherence to deadlines.
Schedule weekly syncs with the core project team & support RFP Lead in ensuring meetings are timely & productive
Take meeting notes and promptly recap weekly syncs via email or post to collaboration tool with key take aways and action items
Identify opportunities for process improvements and efficiencies in the RFP management process
Create organize and maintain documentation related to the RFP process including meeting minutes vendor proposals and evaluation scores from core team.
Consult 1:1 with crossfunctional core team members identified by RFP Lead such as marketing legal cyber procurement and finance to document specific requirements or concerns related to the RFP process as requested
Vendor Response Management:
Engage provided list of potential vendors or agencies for social media management to participate in the RFP
Facilitate central communication and collaboration between the organization and vendors throughout the RFP process
Schedule and ensure productive vendor Q&A vendor demos etc
Evaluation and Selection Support:
Assist in the evaluation of vendor proposals by gathering and summarizing feedback on predefined criteria.
Support decisionmaking and selection of the preferred vendor or agency for social media management.
