Job Description

The Nuclear Waste Management Organization (NWMO) is a not-for-profit organization tasked with the safe, long-term management of Canada s used nuclear fuel inside a deep geological repository, in a manner that protects people and the environment for generations to come.

Founded in 2002, the NWMO has been guided for 20 years by a dedicated team of world-class scientists, engineers and Indigenous Knowledge Keepers that are developing innovative and collaborative solutions for nuclear waste management. Canada s plan will only proceed in an area with informed and willing hosts, where the municipality, First Nation and M tis communities, and others in the area are working together to implement it. The NWMO plans to select a site in 2024, and two areas remain in our site selection process: the Wabigoon Lake Ojibway Nation-Ignace area in northwestern Ontario and the Saugeen Ojibway Nation-South Bruce area in southern Ontario.

Program Coordinator

(Employment Status: 1 year - Temporary)

Position Location: Toronto Head Office 2 St. Clair Avenue East

Job Summary:

Reporting to the Manager Program Coordination, the Program Coordinator responds to internal and external requests for funding from established resource programs and NWMO funded activities related to engagement contracts and funding programs. Key duties include: vetting proposals and resolving outstanding issues, as needed, to ensure proposals meet eligibility criteria; preparing contract documentation, templates and other relevant procedural materials and maintain records in organization s records management system and developing comprehensive management information reports and prepare meeting talking points, documents or briefings related to contract financials and deliverables. In addition, the Program Coordinator will, provide support to programs by notifying of funding decisions, maintaining and developing protocols and ensuring that documentation is filed and recorded as appropriate.

Tasks

Review submitted financial documentation and ensure program funding payments, honoraria and other expenses are approved, issued and appropriately recorded. Work closely with internal and external stakeholders to ensure that funding mechanisms are effectively implemented.

Vet proposals and resolve outstanding issues, as needed, to ensure proposals meet eligibility criteria. Design and propose exceptions to standard practices for consideration by the supervisor when warranted.

Prepare contract documentation, templates and other relevant procedural materials and maintain records in the organization s records management system. Respond to internal and external queries regarding the documentation process; monitor and track contract submissions. Assist in the development of departmental procedures related to program funding.

Develop comprehensive management information reports that provide numerical and text-based data on the contracts managed by Aboriginal and municipal teams. Prepare meeting talking points, documents or briefings related to contract financials and deliverables. Track cash flows and prepare regular reports, review general ledgers and cost codes for inconsistencies before submission.

Provide support to siting engagement leads:

Notify of funding decisions and provide comments to help inform current and future proposal submissions.

Maintain or develop protocols for files and databases;

Monitor to ensure that correspondence is documented and filed in Staketracker and/or records, as appropriate.

Work with multiple internal departments, such as procurement, finance, project controls and community well-being, assessment and dialogue to provide information, support, and resources needed to administer engagement contracts and funding programs and to strengthen the infrastructure of the department.

Assist in identifying opportunities to streamline and improve processes, provide input for automating processes, and actively implement changes as needed.

Perform other duties as required.

Requirements

A university degree and a background in business, accounting, finance or a related field, or an equivalent level of education.

A minimum 4 years of relevant experience.

Related experience to evaluate funding proposals according to established policies and procedures.

A strong understanding of project/contract management.

Demonstrated proficiency in the use of word processing, spreadsheet and presentation software applications.

Outstanding attention to detail.

Ability to problem solve and recommend effective solutions.

Requires excellent communication skills, both verbal and written.

Perform all responsibilities in an honest, ethical and professional manner and maintain confidentiality.

Able to successfully manage extensive workflow with multiple deadlines, data points, and priorities.

Will have proven organizational skills, be a self-starter who can work independently as well as in a team environment that is dedicated to excellence.

Experience working with grant and contributions programs would be an asset.

Familiarity with Staketracker or other Customer Relationship Management (CRM) software an asset.

NWMO currently operates in a hybrid work model of 3 days in the office (Tuesdays being universal) and 2 days working from home.
