Job Description

Title: Executive Administrator
Location: Herndon VA (Hybrid)
Terms: 2025 Hours/wk
Work Authorization: Due to federal regulations all qualified applicants must be US Citizens.


Our ideal candidate will have worked as an Administrative Assistant or Executive Assistant for a senior level executive and/or team for a minimum of 3 years and office management tasks. This role will report to the VP of HR and requires the exercise of initiative being proactive independent judgment and advanced administrative skills to a wide range of work situations often involving highly sensitive and confidential information. Work also involves a high level of contact with the Board of Directors. Attention to detail and interpersonal astuteness are key factors for the position.


Responsibilities:

Executive Support

  • Scheduling the following types of meetings and logistics: Board Business Internal Offsite Board dinners meetings with external/internal participants
  • Coordinating all elements of business travel. Preparing travel authorization requests purchase orders and expense reports
  • Registering executive members for conferences and seminars
  • Coordinating ordering and setting up Board/Executive meals offsite and onsite
  • Managing Executive Calendars
  • Other duties as assigned

Office Support

  • Servicing and upkeep of office areas and equipment
  • Manage the office mail and manage requests for express mail for the ELT
  • Preparing office space for new hires/departing employees
  • Facilities Management and Point of Contact
  • Vendor Management
  • Assisting in organizational training and development efforts to include coordination of logistics
  • Placing routine orders of office coffee supplies and other orders as needed and stock the same
  • Providing frontdesk coverage as needed
  • Other duties as assigned

Human Resources Support

  • Supporting HR with the Health and Wellness Program employee engagement activities and other ad hoc assignments
  • Coordinating Service Awards Recognition Programs and occasional orders
  • Assisting with maintaining our HR Intranet site
  • Assist with our Summer Intern Program
  • Assisting with special projects and perform other duties as assigned
  • Completing Employment Verifications and Trusted Role Reference Calls
  • Other duties as assigned


Requirements

Basic Qualifications:
  • College Degree preferred or equivalent years of experience
  • Minimum 3 years experience supporting one or more Executives
  • Strong attention to detail followup and excellent organizational skills
  • Ability to treat sensitive/confidential information with appropriate discretion
  • Strong sense of urgency adaptability flexibility and resourcefulness
  • The ability to function professionally under pressure while managing multiple concurrent projects
  • Proven competencies in software applications and programs particularly Microsoft Office including Excel Word Power Point and Outlook. Excellent word processing and file management skills
  • Good working knowledge of office equipment and procedures including computers photocopiers printers fax machines mailing equipment telephone systems filing systems etc.
  • Must possess personal tact discretion and good judgment. Excellent interpersonal written and verbal communication skills
  • Ability to work afterhours as necessary
  • Strong sense of urgency and works well under pressure
  • Ability to be a team player and/or work independently required
  • Ability to take initiative be proactive and be a problem solver
  • Ability to adapt and work in a progressive dynamic changing environment required
  • Ability to lift items of 25lbs
  • Ability to be in the office 23 days a week
