Job Description: Front Office Executive in Hospital
Position Overview:
The Front Office Executive plays a crucial role in ensuring efficient operations and excellent customer service at the front desk of the hospital. This role involves managing patient inquiries appointments registrations and providing assistance to visitors patients and staff.
Key Responsibilities:
Patient Reception:
- Greet patients and visitors with a professional and friendly demeanor.
- Manage patient registration process efficiently ensuring accuracy of demographic and insurance information.
- Direct patients to the appropriate departments or personnel as needed.
Appointment Scheduling:
- Coordinate and schedule patient appointments surgeries and consultations.
- Maintain the appointment calendar ensuring proper allocation of resources and minimizing scheduling conflicts.
- Remind patients of upcoming appointments via phone calls or messages.
Communication Handling:
- Answer phone calls promptly and professionally addressing inquiries scheduling appointments and providing information as required.
- Respond to emails and other forms of communication in a timely manner.
- Relay messages accurately to the relevant departments or personnel.
Administrative Support:
- Assist in maintaining patient records and updating electronic health records (EHR) systems.
- Handle billing and insurancerelated inquiries processing payments and verifying insurance coverage.
- Maintain cleanliness and organization of the front desk area.
Customer Service:
- Ensure a high level of customer satisfaction by providing courteous and helpful assistance to patients and visitors.
- Address and resolve any complaints or concerns raised by patients in a professional manner.
- Maintain confidentiality of patient information at all times.
Collaboration:
- Collaborate with other departments such as nursing billing and medical staff to facilitate smooth patient flow and resolve issues efficiently.

Qualifications and Skills:
- Bachelors degree or equivalent qualification preferred.
- Proven experience in a similar role preferably in a healthcare setting.
- Excellent communication and interpersonal skills.

- Proficiency in using computer applications and electronic health records (EHR) systems.
