Job Description: Executive Assistant
Position: Executive Assistant
We are seeking a highly skilled and efficient Executive Assistant to provide secretarial support and executivelevel assistance to our Director. The ideal candidate will be a smart intelligent and capable individual preferably female who is wellversed in English and possesses excellent organizational and communication skills. The Executive Assistant will play a crucial role in ensuring the smooth functioning of the Directors office by managing administrative tasks coordinating travel plans taking dictations organizing meetings and providing comprehensive support as needed.
Responsibilities:
1. Secretarial Support:
Provide highlevel secretarial support to the Director including managing calendars scheduling appointments and handling correspondence.
Maintain confidentiality of sensitive information and exercise discretion when dealing with confidential matters.
2. Travel Coordination:
Book travel arrangements including flights accommodation and ground transportation for the Director and other executive team members as required.
Prepare detailed itineraries and ensure all travel arrangements are efficient and costeffective.
3. Communication Management:
Handle incoming and outgoing communications including emails phone calls and written correspondence on behalf of the Director.
Take dictations draft memos reports and other documents and ensure accurate and timely delivery.
4. Meeting and Event Management:
Coordinate and schedule meetings conferences and other events for the Director including arranging venues catering audiovisual equipment and necessary materials.
Prepare meeting agendas take minutes and distribute relevant documents.
5. Administrative Support:
Assist with the preparation of presentations reports and other documents.
Conduct research gather data and compile information for various projects and presentations.
Manage office supplies maintain filing systems and handle other administrative tasks as required.
Qualifications and Skills:
Bachelors degree or equivalent qualification in a relevant field is preferred.
Proven experience as an Executive Assistant or in a similar role supporting toplevel executives.
Excellent command of the English language both written and verbal with exceptional communication skills.
Proficient in using productivity tools such as Microsoft Office Suite (Word Excel PowerPoint Outlook) and other relevant software.
Strong organizational skills with the ability to multitask and prioritise work effectively.
High level of discretion and confidentiality when handling sensitive information.
Exceptional attention to detail and accuracy.
Ability to work independently demonstrate initiative and make informed decisions.
Professional demeanour and ability to interact with individuals at all levels of the organization.
