Overview:


The role of an Executive Assistant is pivotal in providing highlevel administrative support to executives and senior management. This role serves as a gatekeeper decisionmaker and righthand person to ensure seamless operations within the organization. The Executive Assistant plays a crucial part in maintaining efficient workflows and managing various tasks to enable the executive team to focus on strategic initiatives.

Key Responsibilities:


  • Provide administrative support including managing calendars scheduling meetings and handling correspondence
  • Coordinate travel arrangements and prepare detailed itineraries
  • Conduct research compile data and prepare reports and presentations
  • Screen and direct phone calls and distribute correspondence
  • Coordinate and facilitate communication between executives and internal/external stakeholders
  • Manage confidential information and maintain discretion at all times
  • Assist in budget preparation and tracking of expenses
  • Organize and maintain executive files and records
  • Assist in organizing and coordinating events and special projects
  • Prepare and distribute meeting agendas minutes and followup actions
  • Oversee and prioritize executives task list and deadlines
  • Act as the point of contact between executives and employees/clients
  • Manage special projects and perform adhoc tasks as required
  • Serve as a liaison to ensure effective collaboration among teams
  • Handle HRrelated administrative tasks when necessary

Required Qualifications:


  • Bachelors degree in Business Administration or relevant field
  • Proven experience as an executive assistant or in a similar role
  • Proficiency in MS Office with advanced knowledge of Excel and PowerPoint
  • Exceptional organizational and multitasking skills
  • Outstanding verbal and written communication abilities
  • Ability to exercise discretion and maintain confidentiality
  • Strong attention to detail and problemsolving skills
  • Ability to prioritize tasks and work efficiently under pressure
  • Excellent time management and administrative skills
  • Proactive and resourceful with a positive attitude
  • Experience in managing complex calendars and coordinating travel arrangements
  • Familiarity with basic financial and budgeting principles
  • Ability to work independently and as part of a team
  • Knowledge of HR functions and project management is a plus
  • Professional demeanor and strong interpersonal skills
