Key Duties and Responsibilities

Daily Duties
Follows the privacy and confidentiality act with extreme
Respectfully answers phones and returns messages; calls patients when appointments need to be cancelled and/or re-scheduled; triages and prioritizes the relay of messages
Pleasantly greets and welcomes patients upon arrival, and guides them to their
Takes patients demographics, health card number, pharmacy information, and photographs (with consent) and inputs into Electronic Medical Record (EMR).
At every patient visit, ensures that patients present their health card and checks its
Provides forms/OCEAN tablet to patients to be filled out, and updates the EMR as neede
Schedules all patient appointments and follow-ups for any reason; uses templates to optimize patient schedulin
Responsible to pick up, distribute and send mail, shred material daily as require Ensures that all incoming documents (electronic or by fax) are scanned appropriately to the EMR and or to the Lead Physician as require
Accepts deliveries and assists with stocking office supply
Documents all communication with patients in the EMR and patient chart accurately and concisely at the time of encounter or telephone
Arranges for all prescription renewals and updates as per physician s
Collect, invoice, and process payments from
Adheres to all human resource Maintains confidentially at all
Assists team nurse(s) and co-workers with duties as required (, laundry, sterilization, etc).
Follows clinic policies and standard operating procedures for all services performe
Performs delegated medical aesthetic treatments offered at the clini
Educates patients on skin care and suitable home treatment regimens, including after-care
Maintains product knowledge to promote and sell services and
Assists with education and training of new staff as require
Shares new ideas for process improvement at team meeting

Administrative
Reviews patient bookings
Maintains treatment rooms, following up to date Health and Safety Guideline
Monitors supplies and inventory and submits purchase orders as require
Stocks, cleans and prepares treatment room
Inspects equipment and maintains safety measures, including service requirement
Other administrative duties as require

Managerial
Oversees day to day operations, optimization of calendar for all employees and ensures patients are responded to in a timely manne
Reviews any calls or cases with Lead Physician and determines appropriate treatment regimens based on medical history and skin assessmen
Provides mentorship, education and training of new staff and residents/medical students as require
Additional Clinic responsibilities, sterilization and cleaning as neede

Clinical Support
Works with other staff members to facilitate effective flow of
Assists to stock exam rooms and workstations as required with medical supplies to optimize efficiency and flow for all examinations/procedure
Enrolls in continuing educational programs and staff meeting


Requirements

Qualifications and Skills
Medical Secretary or Office Assistant certificate/diploma or equivalent require
3 to 5 years experience practicing in a clinic and/or aesthetics office or equivalent, require
Demonstrates excellent interpersonal skills to include problem solving, flexibility, conflict resolution, organizational and communication skills require
Proficiency in use of computers, electronic medical records and medical equipment, require
Evidence of problem solving, and conflict resolution skills, require
Demonstrates excellent organizational and communication skills, require
Demonstrates effective listening and verbal skills, require
Demonstrates ability to maintain confidentially for all information pertaining to the work environment, require
Status on CPR, FIT Testing and other regulatory occupational health and human resource certification Preferred at time of hire, required within probatio
Professional attire required (scrubs and closed toe shoes are required).
Current police check (within last 6 Months) required at time of hir
Must be adept in the use of Microsoft Offic

Working Conditions
Required to work in a very busy fast paced environment
Required to work with patients who may have significant emotional and physical challenge
Normal working hours as per the Clinic s schedule (see above).
