As a Bookkeeper and Administration Specialist you will oversee various aspects of the firms operations. This includes managing administrative tasks such as scheduling Zoom meetings handling incoming calls including client voicemails and emails and performing general administrative duties. Additionally you will collaborate closely with our client s team to ensure efficient remote communication and facilitate seamless coordination among team members. Employment type: Fulltime
Shift: Day Shift (Regular Sched Mon Fri; 7AM 4PM)
Work Setup: Permanent WFH

What do you need to succeed
  • Proven experience in administrative roles preferably in a law firm or professional services setting.
  • Strong organizational and multitasking skills for effectively managing various responsibilities.
  • Proficiency in bookkeeping and finance tasks including invoicing and recordkeeping.
  • Familiarity with accounting software and tools.
  • Excellent communication skills both written and verbal.
  • Ability to work independently and remotely adhering to Sydney time (9am to 5pm).
  • Access to a reliable internet connection to support remote work.
  • Respect for client confidentiality and a commitment to maintaining high ethical standards.
  • Knowledge of Australian holidays and willingness to align work schedule accordingly.

What awaits you in this role

  • Manage the firms administrative tasks including scheduling Zoom meetings redirecting and answering calls and handling general administrative duties.
  • Reception: Take incoming phone calls including client voicemails and emails.
  • Collaborate with our team to ensure efficient remote communication and facilitate seamless virtual meetings.
  • Perform bookkeeping tasks such as:
  • Opening new files in LEAP software.
  • Generating invoicing for clients and monthly invoices.
  • Closing and archiving matters and invoices following up as needed.
  • Conducting debt collection chasing all invoices costs agreements and monies owed.
  • Generating costs agreements and Anticipated Trust Deposits.
  • Generating reports such as WIP Timesheets Debtors Reports and Monthly payments.
  • Processing received payments.
  • Recording financial transactions reconciling accounts and managing financial records.
  • Prepare and maintain weekly invoice reports ensuring accuracy and adherence to established processes.
  • Review invoice details to ensure consistency and correctness making necessary adjustments as needed.
  • Assist with client correspondence and maintain organized records of all communication.
  • Work collaboratively with the finance and administration teams to support various projects and initiatives.
  • Maintain a strong understanding of Australian holidays and adhere to the AU holiday calendar. Uphold client confidentiality and maintain professionalism in all interactions.
