About Us:

We are a dynamic and growing company seeking a Virtual Assistant to join our team. Our ideal candidate is organized proactive and exceptional at communication aiming to streamline our hiring processes and maintain strong professional relationships.


Job Overview:

As a Virtual Assistant youll play a crucial role in managing our daytoday administrative tasks with a focus on calendar management posting and managing job openings communicating with candidates and managing professional relationships. Youll work closely with our HR and management team to ensure our staffing needs are met efficiently and effectively.


Key Responsibilities:

  • Calendar Management: Efficiently manage and organize multiple calendars scheduling appointments meetings and events while anticipating conflicts and resolving scheduling issues.
  • Job Posting and Management: Create post and update job listings on various platforms. Monitor applications and assist in the screening and shortlisting process.
  • Candidate Communication: Serve as the first point of contact for candidates. Communicate effectively through email and phone to schedule interviews answer queries and provide updates on the recruitment process.
  • Relationship Management: Maintain and nurture professional relationships with internal team members potential hires and external partners. Ensure smooth communication and manage followups.
  • Administrative Support: Assist with additional administrative tasks as needed including but not limited to document preparation data entry and maintaining digital files.
  • Manage personal as well as professional relationships.
  • Help manage company culture.


Requirements

Qualifications:

  • Proven experience as a Virtual Assistant Administrative Assistant or similar role preferably with a focus on HR or recruitment.
  • Strong organizational skills with the ability to manage multiple tasks and calendars efficiently.
  • Excellent communication skills both written and verbal with attention to detail.
  • Proficient in using office software (e.g. Microsoft Office Google Suite) and virtual communication tools (e.g. Zoom Slack).
  • Experience with HR software and job posting platforms is a plus.
  • Ability to work independently prioritize effectively and meet deadlines.
  • A positive attitude with a commitment to confidentiality and ethical conduct.
