ADMINISTRATIVE ASSISTANT IMPACT:




  • Provide administrative support by ensuring efficient operation of the department while supporting and championing the company mission.

  • Support is provided through a variety of tasks related to organization and communication, such as the ability to effectively communicate via phone and email, ensuring all assigned administrative duties are completed accurately and delivered with high quality and in a timely manner.





ADMINISTRATIVE ASSISTANT DETAILS:




  • Answer and direct emails; draft and distribute correspondence emails and letters.

  • Schedule and maintain known chapter activity on Master calendar.

  • Assist with completion and submittal of departmental expense reports.

  • Coordinates all incoming/outgoing mail/email, email distribution lists, and logs details as required.

  • Serve as main POC within department for all shipping needs (i.e., FedEx, UPS, and USPS).

  • Assist in the preparation and generation of regularly scheduled reports and other data entry needs.

  • Provide general support to fundraisers as requested.

  • Manages supply organization for the chapter and areas.

  • Serves as POC for office equipment and service providers.

  • Maintain an organized filing system of paper and electronic documents and provide historical reference by developing and utilizing filing and retrieval systems.

  • Handle sensitive information in a confidential manner

  • Take accurate minutes of meetings

  • Works in conjunction with the other company Administrative Support Associates to align best practices and procedures.

  • Uphold a strict level of confidentiality.





ADMINISTRATIVE ASSISTANT BACKGROUND:




  • Non-profit industry experience is preferred.

  • Proficient in executive-level correspondence and experience in communicating with C-suite members.

  • Very strong interpersonal skills with proven success in building relationships with staff, executive management, external partners, and donors.

  • Highly resourceful team-player with the ability to work independently in a fast-paced and at times stressful environment with little to no supervision.

  • Ability to practice discretion with confidential information, adapt to various competing demands, and demonstrate the highest level of customer service.

  • Ability to demonstrate exceptional attention to detail and problem-solving skills.

  • Ability to successfully demonstrate strong verbal and written communication skills; ability to multi-task and manage time effectively.

  • Excellent time management and organization skills with the proven ability perform under pressure to meet project deadlines, milestones, and deliverables.

  • Experience with and interest in internal and external communications, partnership development, and fundraising.

  • Proficient in Microsoft Office Suite, Adobe Creative Cloud, CRM platforms, and Social Media platforms.
