New Clients:
Creation of new client agreements and proposals (Adobe Sign/Proposify/HubSpot)
Set up and internal onboarding of all new clients: - Setup new clients in Xero and Payrix
- Action initial invoice
- Create/amend relevant Google folders per SOPs for each program
- Duplicate and customise program templates per SOPs
- Schedule calendar invites per session
Existing Clients:
Ongoing client invoicing through Xero and payment collection through Payrix
Liaison with the Bookkeeper
Maintenance of Source Documents Requests list from bookkeeper
Internal:
Attend internal team meetings on Zoom as required
Review all team calendars daily to call out and address any conflicts
Maintain the company wins document
R&D for new tech applications if required
Zoom downloads into Google Drive folders
Organise team gifts and rewards Assist with team event scheduling, travel, and coordination
Delivery Support:
Calendar management of all changes to client sessions
Compilation of notes and insights from client sessions
Preparation of templates for client sessions Task management for delivery programs
Transcription of sales calls and minor editing of videos as required Preparation of client sales training playbooks from the templates
- Setup CRM for Hiring Campaigns
Recruitment Admin for Fridays or when Recruiter is on annual leave
Additional administration support as required.

Proven background in administration, including filing, note-taking, invoicing, and calendar management. Exceptional English communication skills, both written and verbal. Ability to use a variety of technologies and software to enhance business processes and efficiencies. Understanding of general business operations and the required environments for business growth. Exceptional attention to detail and problem-solving acumen.
