Job Description: Accounts and Admin Officer

Islamic Aid Pakistan is currently seeking a highly skilled and experienced Accounts and Admin Officer to join our team based in Johar Town Lahore. The ideal candidate will have a minimum of 5 years of relevant experience working in NGO accounts and administration with a strong background in project accounting. This role requires strong financial management skills meticulous attention to detail and the ability to handle administrative tasks efficiently. As the Accounts and Admin Officer you will play a critical role in ensuring the smooth functioning of our organizations financial and administrative operations with a specific focus on project accounting.

Responsibilities:

1. Financial Management:

  • Maintain accurate financial records including bookkeeping accounts payable and receivable and general ledger entries.
  • Prepare financial reports including monthly quarterly and annual statements.
  • Ensure compliance with financial policies procedures and regulatory requirements.
  • Assist in budget preparation and monitoring to support effective financial planning.

2. Project Accounting:

  • Manage the financial aspects of projects including tracking project expenses budget allocation and financial reporting.
  • Collaborate with project managers to monitor project budgets expenditures and financial performance.
  • Prepare accurate project financial reports for internal and external stakeholders.
  • Ensure adherence to projectspecific financial guidelines and donor requirements.

3. Payroll and Benefits Administration:

  • Manage employee payroll ensuring accurate calculation of salaries deductions and taxes.
  • Administer employee benefits programs including health insurance retirement plans and leave management.
  • Maintain employee records and ensure confidentiality of sensitive information.

4. Accounts Receivable and Payable:

  • Process invoices payments and expense reimbursements in a timely manner.
  • Monitor accounts receivable and follow up on outstanding payments.
  • Manage vendor relationships and ensure timely payment of invoices.

5. Bank and Cash Management:

  • Reconcile bank statements and maintain accurate cash records.
  • Process bank transactions including deposits withdrawals and fund transfers.
  • Monitor cash flow and prepare cash flow forecasts to support efficient financial management.

6. Administration and Office Management:

  • Oversee general administrative tasks including office supplies management travel arrangements and maintenance of office equipment.
  • Assist in the coordination of meetings events and workshops ensuring smooth operations.
  • Maintain and update organizational files records and databases for easy accessibility and retrieval.

7. Audit Compliance and Policies:

  • Ensure adherence to organizational policies and procedures as well as relevant legal and regulatory requirements.
  • Stay updated on accounting and financial best practices to maintain accurate and compliant financial records.
  • Assist in developing and implementing internal controls to safeguard organizational assets and prevent fraud.
  • Collaborate with auditors to ensure project financial records are prepared and available for auditing.
  • Support project audits addressing any financial and administrative queries.

8. Project Coordination and Reporting:

  • Support project coordination activities including tracking project milestones deliverables and timelines.
  • Assist in the preparation of project progress reports ensuring accuracy and timely submission.

9. Administrative Support:

  • Provide general administrative support including managing correspondence filing documents and organizing meetings.
  • Assist in maintaining office supplies equipment and inventory.

Requirements:

  • Minimum Bachelors degree in Accounting Finance Business Administration or a professional qualification.
  • Minimum of 2 years of experience working in NGO accounts and administration with a focus on project accounting.
  • Strong knowledge of accounting principles practices and financial regulations.
  • Proficiency in QuickBooks accounting software and Google Workspace (Docs Spreadsheet Presentation).
  • Experience in project financial management including budgeting tracking expenses and reporting.
  • Excellent organizational and time management skills.
  • Attention to detail and accuracy in data entry and financial reporting.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Fluency in English and local languages.
