Job Description

  • Position Overview: The Accountant/Office Assistant will provide accounting payroll job cost support project management support and other administrative support as needed.
  • Characteristics: Detail Oriented Friendly organized cooperative helpful courteous and patient team player.
  • Skills: Computer and Accounting Skills required Prior Payroll administration and accounting software experience helpful.
  • Position will use Microsoft Office; Adobe HH2 Procore and Timberline/ Sage 300 in this position.

Accounting/Payroll Duties/ Assist accounting functions including:

  • Processing monthly subcontractor/suppliers invoices for Project Managers approval.
  • Accounts Payable posting invoices; checks; ACH; auto payments etc.
  • Collate small bill invoices and checks. File all paid invoices.
  • Verifying lien waivers for accuracy & signatures making sure certificates of insurance are up to date signed contract received etc.
  • Track lien waivers received in Sage & file scanned images in electronic job folder.
  • Create and maintain traditional job files includes filing lien waivers checks/paid pay applications.
  • Updating Certificates of Insurance and W9 information in the Master Vendor file. Scan & electronic file.
  • Working with Job Costing
  • Payroll Processing every two weeks utilizing HH2 and Sage Payroll Module.
  • Payroll Tax and 401K Payments.
  • Reconciling bank statements.
  • Deposit receipts; cash management

Administrative/Office Support:

  • Greeting and assisting visitors.
  • Copier/Printer Maintenance with paper and toner as needed.
  • Conference room setup
  • Order office supplies
  • Manage the phone system including updating the directory and routing calls.
  • Manage incoming and outgoing mail. Package and send all overnight parcels and same day deliveries.
