Role Overview
Were looking for an organized proactive and hands-on Office Assistant to ensure the smooth running of our office and daily operations.
Youll be responsible for creating a comfortable efficient and engaging work environment while supporting the team across a wide range of administrative logistical and cultural initiatives.
This role combines office management event coordination purchasing and executive support acting as a key connector between Operations People and Management.
Main Responsibilities
Office Management
Oversee the daily operations of the office: maintenance cleaning supplies and workplace organization.
Manage inventories orders and replenishments (fruit coffee office materials Friday lunches etc.).
Coordinate and negotiate with suppliers (cleaning catering maintenance furniture).
Lead the search and setup of new office spaces when needed.
Support sustainability initiatives and help monitor the companys carbon footprint.
Events & Culture
Organize internal activities such as training sessions yoga workshops and company events.
Coordinate the logistics for MonkeysCon / LearningCon and other internal gatherings.
Plan and execute company trips retreats or team-building activities.
Manage details that nurture company culture and employee engagement (gifts celebrations team moments).
Coordinate and host weekly Friday Talks or internal sharing sessions.
Administrative & Purchasing
Handle purchases of materials merchandise laptops desks chairs and other office items.
Oversee logistics and shipments for other offices or remote employees.
Assist with invoice management and administrative documentation.
Coordinate official paperwork with notaries registries and external providers.
Support miscellaneous administrative tasks within operations or management.
Executive Assistance
Manage the leadership teams calendar and coordinate internal and external meetings.
Support with document preparation presentations and other executive administrative needs.
Requirements
Experience in Office Management Administration or Operations.
Ability to multitask and prioritize in a dynamic environment.
Strong communication and stakeholder management skills.
Experience in event organization or working in a startup/fast-paced environment is a plus.
