Job Summary
WHAT YOULL DO:
Front Desk & Guest Experience Greet and assist visitors interview candidates and deliveries. Manage visitor badges seating and special requests (rental cars fitness center access). Handle mail postage meter and parking validations. Provide security support for uninvited guests and terminated employees.
Kitchen & Facility Maintenance Stock maintain and tidy the kitchen ensuring it is clean and organized.
Submit and follow up on maintenance requests (temperature lighting restrooms elevators odors exterminator). Act as point of contact for building management repairs and renovations. Serve as Fire Warden for inspections and alarms.
Office Administration & Coordination Support office communications space planning employee moves conference rooms and special orders. Coordinate with IT on equipment and access badges. Assist with onboarding and termination processes.
Inventory Supplies & Ordering Track and order all kitchen office and executive supplies. Maintain postage supplies and usage reporting. Review and process invoices assist with expense reconciliations and handle vendor setup as needed.
Executive & Administrative Support Provide direct support to visiting leadership (stocking lunch orders travel bookings parking forms).
WHAT WE NEED:
- High school diploma required
- Proven 3-to-5-year track record for one company preferably in client/customer service
- Superior people skills- professional friendly and helpful in all interactions
- High attention to detail and proactive problem-solving
- Proficiency in Microsoft Office Suite
- Professional demeanor with ability to handle sensitive situations
- Excellent organizational and time management skills and ability to multi-task
- Experience with CRM systems preferred
- Business professional dress attire required

The office environment is fast-paced and collaborative. An employee must be willing and able to work their regularly assigned work schedule onsite and in times of need be able to work an extended schedule depending on company or departmental needs project requirements or customer demands.
While performing general duties for this position the employee is regularly required to sit stand and/or walk around (including the use of stairs). Other demands include the ability to openly communicate with others by talking listening comprehending and reading; being able to lift light objects (<25 lbs); and using standard office equipment such as computers printers and addition there is an occasional need to bend twist or squat down to open/close cabinets and reach for files or other standard office-type objects.
