Job Summary
The Receptionist is a first point of contact for visitors customers suppliers and couriers attending Vancouver Shipyard (VSY). The primary focus is to greet and direct visitors and to ensure that all visitors are provided the appropriate security access and Personal Protective Equipment. This role provides confidential administration and clerical support and manages incoming calls to VSY.
Note: Due to business needs this position is required to be fully on-site based at 50 Pemberton Avenue North Vancouver.
What youll do
- Performs receptionist duties including greeting and directing visitors to the Company managing incoming calls to VSY managing the traffic flow of deliveries; couriers etc. and ensuring that all visitors have the appropriate security access and safety equipment.
- Verifies visitor identity and confirms the validity of visits
- Denies access to unauthorised personnel
- Maintains required documentation and provides ID card services for non-union staff customers visitors and contractors by creating new and replacement cards using Keyscan and Genetec software systems.
- Adds Access for the WGym to Employees Access Cards
- Provides admin support to Director Property Facilities and Security.
- Maintains Marsec (Marine Security for VSY) documentation relative to security exercises performed 4-5 times a year.
- Updates VSY contact lists for distribution to staff on a monthly basis.
- Assists with Seaspan related programs including United Way Corporate Golf Tournament etc.
- Responsible for keep in contractor list up to date tracking expiry dates.
- Responsible for keeping photos in Keyscan/ Genetec up to date; organizing the schedule to get this updated once a month.
- Performs daily Visitor Card audits.
- Tracks stationary/ printer ink stocked for main floor.
- Admin contact for Electric charge station
- Coordinates Buddy Parking procedures
- Coordinates and Selling Seaspan Merchandise on-line and in person
- Coordinates with Logistics Operator with Pick-up /Drop-off Golf Cart Needs Provides access and administration to High Density File Room PPE Closet and other offices.
- Resets Mag Lock Alarms for Atrium Doors
- Acts as a designated Official for the Controlled Goods Program.
- Performs additional duties as assigned.
What youll bring
- Completion of Grade 12 education supplemented by courses in office administration.
- 2-4 years of experience with office and clerical procedures preferably in manufacturing or construction environment or an equivalent combination of education and experience.
- Eligible for Industrial Security Clearance Classified Control Goods
- Ability to obtain and maintain ACSO status.
- Ability to present a pleasant and professional manner at all times.
- Communication skills with ability to use discretion and confidentiality in dealing with a diverse number of contacts.
- Ability to multi-task and complete clerical work while managing continual interruptions.
- Time management and organizational skills.
- Proficient computer skills including Microsoft Office.
- Attention to detail and accuracy.
- Ability to work independently and with limited direction in a fast-paced environment.
Pay: Starts at $6129.01/month (rate increases to $6810.01/month after the probation period).
This is a unionized position the pay rate for this position is set out in the applicable collective bargaining agreement. The rate stated above is the starting rate for this position. It increases after the probationary period and continues to progress over the course of 12 months as per the collective agreement.
