POSITION SUMMARY
The Executive Assistant will provide high-quality administrative operational and business coordination support to the China Commercial Vice President. This role requires strong ownership excellent judgment business sensitivity and the ability to work effectively in a fast-paced complex and highly confidential environment.
The successful candidate will act as a trusted partner to the Commercial VP helping manage priorities drive meeting effectiveness coordinate cross-functional communication prepare business materials and ensure smooth daily addition to traditional executive support this role will also support commercial rhythm management reporting project follow-up stakeholder coordination and ad-hoc business initiatives across the China commercial organization.
Key Responsibilities
Executive Calendar & Daily Operation Support
- Manage the Commercial VPs calendar meeting schedule business reviews internal and external engagements and travel arrangements.
- Prioritize meeting requests resolve calendar conflicts and ensure the executive is well prepared for key meetings and commitments.
- Handle travel logistics expense claims purchase requests vendor coordination and other administrative processes in a timely and compliant manner.
Communication & Stakeholder Coordination
- Act as a key liaison between the Commercial VP and internal teams senior leaders external partners customers and other stakeholders.
- Coordinate cross-functional communication across commercial marketing finance supply chain medical legal HR and other teams as needed.
- Screen prioritize and respond to emails calls and requests on behalf of the executive when appropriate.
Meeting Management & Business Rhythm Support
- Coordinate leadership meetings commercial reviews business planning sessions town halls customer meetings and external events.
- Prepare agendas consolidate pre-read materials take meeting minutes summarize key decisions and follow up on action items.
- Support regular business cadence including monthly/quarterly business reviews annual planning forecast meetings and leadership team meetings.
Business Analysis Reporting & Presentation Support
- Prepare edit and polish correspondence reports presentations briefing documents and business updates.
- Collect consolidate and analyze business data to support decision-making and ad-hoc business requests.
- Ensure all documents and presentations are accurate professional and aligned with company standards; provide English/Chinese translation or adaptation when needed.
Project Confidentiality & Compliance Support
- Provide coordination support for strategic commercial initiatives cross-functional projects internal events leadership workshops and customer-facing activities.
- Track project milestones deliverables risks and action items escalating issues when necessary.
- Handle sensitive business organizational personnel and commercial information with discretion ensuring compliance with company policies and professional standards.
Qualifications
Experience
- Bachelors degree in business administration English Management or a related discipline preferred.
- Minimum 58 years of experience as an Executive Assistant Senior Administrative Assistant Business Assistant or similar role preferably supporting senior executives in multinational companies.
- Experience supporting commercial sales general management or country leadership roles is highly preferred.
- Prior experience in healthcare life sciences medical device pharmaceutical FMCG technology or other fast-paced commercial organizations is a plus.
Skills & Capabilities
- Excellent organizational and time management skills with the ability to manage multiple priorities under tight timelines.
- Strong written and verbal communication skills in both Chinese and English.
- Strong business sense analytical capability and reporting skills to support commercial priorities and ad-hoc business requests.
- Proficient in Microsoft Office especially PowerPoint Excel Word and Outlook; experience with Teams SharePoint Concur SAP CRM or reporting tools is a plus.
- High attention to detail strong problem-solving skills and ability to work independently with minimal supervision.
- High level of discretion maturity confidentiality and professional judgment.
- Strong interpersonal skills ownership flexibility and ability to work effectively in a fast-paced cross-functional environment.
