Warranty Administrator General Motors Dealership
Position Summary
The Warranty Administrator is responsible for processing submitting and managing warranty claims for a General Motors dealership in accordance with manufacturer policies and procedures. This role works closely with the service department technicians advisors and accounting staff to ensure accurate claim submission timely reimbursement and compliance with dealership and GM standards.
Key Responsibilities
- Review repair orders and documentation for warranty eligibility and accuracy
- Submit warranty claims to General Motors in a timely manner
- Monitor and reconcile outstanding warranty receivables
- Maintain detailed records of all submitted paid rejected and pending claims
- Correct and resubmit rejected or short-paid claims
- Ensure compliance with GM warranty policies and audit requirements
- Communicate with service advisors and technicians regarding missing or incomplete documentation
- Process warranty cancellations and refunds when applicable
- Assist with manufacturer warranty audits and dealership internal audits
- Track warranty parts retention and disposition according to GM requirements
- Prepare reports related to warranty activity and receivables
- Support the accounting office with warranty schedules and reconciliations
Qualifications
- High school diploma or equivalent required; associate degree preferred
- Previous automotive dealership warranty administration experience preferred
- Knowledge of General Motors warranty systems and policies strongly preferred
- Familiarity with dealership management systems Reynolds & Reynolds Dealer Fx
- Strong organizational and multitasking skills
- Excellent attention to detail and accuracy
- Ability to work independently and meet deadlines
- Strong communication and customer service skills
- Proficiency in Microsoft Office especially Excel
Preferred Skills
- Understanding of automotive repair orders and labor operations
- Experience handling manufacturer charge
- backs and audits
- Ability to analyze discrepancies and resolve claim issues efficiently
- Strong bookkeeping or accounting background is a plus
Work Environment
- Fast-paced automotive dealership service department
- Primarily office-based with frequent interaction with service personnel
- Full-time schedule with occasional overtime during month-end processing or audits
