Description

The Project Associate is a key member of the Epic Transformation team organizing program/workgroup workshops and enterprise training. This role is responsible for ensuring the smooth execution of program-wide initiatives including the scheduling and logistics of monthly workshops and large-scale Epic training programs. The Project Associate will work closely with the Epic Transformation team and the Training Manager to support the successful implementation and adoption of Epic across Quest Diagnostics.

Pay Range: Salary $66550-$93200 plus yearly bonus

Salary offers are based on a wide range of factors including relevant skills training experience education and where applicable certifications obtained. Market and organizational factors are also considered. Successful candidates may be eligible to receive annual performance bonus compensation.

This position is hybrid and will require 3 days on site at one of the following Quest sites: Secaucus NJ or Schaumburg IL.

Responsibilities
  • Lead Epic Transformation workshops and meetings events to ensure an optimal experience including scheduling booking rooms and ensuring all logistical needs are met
  • Support the Training Manager in scheduling and coordinating all Epic training sessions including managing the training calendar and tracking participant enrollment and attendance
  • Assist in the creation and maintenance of project documentation including project schedules action item trackers and status reports
  • Prepare and distribute materials for workshops meetings and training sessions
  • Serve as a central point of contact for project team members and stakeholders for scheduling and logistical inquiries
  • Generate and distribute regular and ad-hoc reports related to project progress workshop attendance and training completion
  • Assist with the administration of project-related systems and tools which may include a Learning Management System
  • Liaise with various teams including IT security and clinical departments to ensure seamless coordination of project activities
  • Other duties as assigned to support the Epic Transformation program


Qualifications

Required:

  • Minimum 2 years of event planning and scheduling
  • Minimum 2 years of experience managing a corporate Learning Management System
  • Proven experience coordinating complex schedules or events involving 500 participants.
  • Advanced proficiency in Microsoft Excel (VLOOKUPs Pivot Tables) for data reconciliation between training rosters and HR employee files.
  • Communication:Ability to communicate clearly with clinical leadership and end-users regarding training requirements and deadlines.

Preferred:

  • Prior experience with an Epic implementation
  • Familiarity with the Training Entity Database or the Epic Training Wheel.
  • Understanding of diagnostics operations

Work Environment:

  • Work requires handling light and simple weight material and activity requires the ability to tolerate prolonged periods of close computer requires speed accuracy and adeptness to operate in system -paced work environment. After hours weekend and holiday work will occasionally be required as determined by the Beaker Leader to support software/hardware patches upgrades downtimes and potential disasters.
