The Role

As the Senior Administrator for the Policy Advocacy & Campaigns (PAC) division you will provide highâlevel administrative executive and board support that enables senior leaders and teams to effectively execute on our mission. Reporting to the Chief of Staff for PAC this role supports both the government relations team of Save the Children U.S. (c3) and Save the Children Action Network (c4).

In this role you provide highâlevel administrative and operational support to the Chief Policy Officer and senior leadership serving as a trusted partner who uses judgment to prioritize work manage complex schedules and support informed decisionâmaking. You play a central role in board and governance operations coordinating meetings materials records and onboarding to ensure effective engagement with board members and committee stakeholders. You also lead key operational and knowledgeâmanagement activities across the division supporting meetings systems staffing processes compliance tracking and internal addition you support strategic initiatives and special projects acting as a connector across teams and identifying opportunities to improve workflows and processes. A proactive solutionsâfocused approach enables you to anticipate needs and keep dayâtoâday operations running smoothly.

What Youll Be Doing (Essential Duties)

Executive & Senior Leadership Support (40%)

  • Provide advanced executive-level administrative and operational support requiring independent judgment and discretion
  • Act as the main point of contact and trusted partner for the Office of the Chief Policy Officer (CPO) using sound judgment to prioritize issues flag items needing executive input and manage interactions with internal and external stakeholders
  • Independently manage and adjust the CPOs calendar balancing shifting priorities deadlines and complex scheduling needs
  • Review and assess incoming meeting requests determining priorities and ensuring the CPOs time is used effectively
  • Manage end-to-end executive travel logistics including itineraries approvals real-time adjustments and coordination with internal and external stakeholders
  • Prepare and coordinate briefing materials for meetings and events working with senior staff to pull together clear concise and useful information
  • Oversee executive and senior leadership travel arrangements making thoughtful decisions to balance cost timing and practicality
  • Manage executive expense reporting ensuring accuracy compliance and timely submission while streamlining processes where possible

Board & Governance Support (20%)

  • Serve as the primary administrative contact for SCAN board activities maintaining strong professional relationships with board members
  • Plan and coordinate board meetings across virtual inâperson and hybrid formats managing timelines logistics and followâup
  • Oversee the preparation and distribution of board materials ensuring content is complete accurate and ready for review
  • Maintain board records documents bios and governance platforms ensuring information is current and organized
  • Lead onboarding for new board members coordinating materials and meetings to set them up for success
  • Provide ongoing support for SCUS Board of Trustees and Program Impact Committee meetings including presentation and material preparation

Operations Administration & Knowledge Management (30%)

  • Lead planning and logistics for divisionâwide meetings retreats trainings and allâstaff events
  • Maintain and improve shared resources such as calendars document repositories templates contact lists and organizational charts
  • Manage subscriptions and memberships making sure resources are accessible relevant and well used
  • Support hiring onboarding and offboarding processes for staff fellows and interns ensuring a smooth and consistent experience
  • Draft update and help roll out SOPs and guidance materials that support efficient and consistent operations
  • Track key divisional and organizationâwide deadlines and proactively keep staff informed to support compliance
  • Assist with divisional reporting newsletters and internal communications

Project Support & Continuous Improvement (10%)

  • Support strategic initiatives and special projects led by the Chief of Staff and senior leaders contributing thoughtful coordination and followâthrough
  • Act as a goâto resource across teams identifying ways to improve workflows systems and coordination
  • Take a proactive solutionsâfocused approach to daily operations by anticipating needs and addressing issues before they escalate

Required qualifications for the role

  • Minimum of a High School Diploma or equivalent with 2 years of progressively responsible administrative or executive assistant experience supporting a senior leader
  • Demonstrated ability to work effectively with senior leaders internal partners and external stakeholders
  • Strong organizational and problem-solving skills with the ability to manage multiple priorities
  • Exceptional attention to detail and accuracy
  • Excellent written and verbal communication skills in both in-person and virtual settings
  • High level of discretion and confidentiality when handling sensitive information
  • Ability to work independently and collaborate effectively with a diverse team
  • Professional proficiency in MS Office suite
  • Professional proficiency in spoken and written English

      Preferred qualificationsâfor the role

      • Bachelors Degree
      • Interest in government relations policy advocacy grassroots organizing and/or campaigning
      • Microsoft PowerPoint and graphic design skills
      • Familiarity with Microsoft 365 collaboration tools especially Teams

      Compensation

      Save the Children is offering the following salary ranges for this position dependent on candidate location:

      • Geo 1 - NY Metro DC and other locations with labor costs significantly above national average: Target Salary for this position is $55250 $61750 base salary
      • Geo 2 - Locations around the US National Labor Cost Average: Target Salary for this position is $50150 $56050 base salary
      • Geo 3 - Locations significantly below the US National Labor Cost Average: Target Salary for this position is $45050 $50350 base salary

      The salary ranges listed above are for US based candidates. For candidates located outside of the US salary ranges will be based on the salary scales of the local employer of record. Actual base salary may vary based on but not limited to relevant experience base salary of internal peers business sector and geographic location (more information on job structure is available here).
