Job Summary

RE-POST- Secretary Chief of Staff and Public Relations

Purpose:

Provide high-level administrative operational and communications support to the Chief of Staff and Chief of Communications. This position supports executive leadership by managing complex administrative functions coordinating communications initiatives assisting with public relations efforts and ensuring professional accurate and timely communication with internal and external stakeholders.

Qualifications:

Education/Certification:

  • High school graduate or GED
  • Experience supporting communications public relations or public-facing leadership preferred

Special Knowledge/Skills:

  • Strong written and verbal communication skills
  • Advanced organizational time-management and prioritization skills
  • Ability to exercise sound judgment discretion and confidentiality
  • Proficiency in Microsoft Office and Google Workspace
  • Ability to manage multiple projects and deadlines in a fast-paced environment
  • Knowledge of public relations practices and professional communication standards preferred
  • BusinessPlus experience- preferred

Experience:

  • Three (3) years to five (5) years of executive-level administrative experience

Major Responsibilities and Duties:

Administrative Support

  • Manage calendars scheduling and logistics for the Chief of Staff and Chief of Communications.
  • Prepare meeting agendas briefing documents talking points and follow-up materials.
  • Coordinate meetings events and executive activities.
  • Track action items deadlines and deliverables for executive and communications initiatives.
  • Serve as a liaison between executive leadership district departments campuses and external stakeholders.
  • Maintain confidential records and handle sensitive information with discretion.

Communications and Public Relations

  • Edit and proofread internal and external communications including emails memos letters and talking points.
  • Support media relations efforts including tracking inquiries and coordinating interviews as directed.
  • Support crisis communications and time-sensitive messaging under the direction of the Chief of Communications.

Chief of Staff:

  • Perform all clerical duties for the Chief of Staff office.
  • Gather and distributes information to the general public.
  • Maintain a regular filing system.
  • Place receive and screen telephone calls and records messages.
  • Order and maintain supplies as needed.
  • Assist in proofreading collateral materials.
  • Assist in developing monitoring and maintaining departmental budget.
  • Place all purchase orders and check requisitions.
  • Collect sort and deliver mail.
  • Assist in special district events.
  • Manage department travel requisitions and reimbursements

Public Relations

  • Perform all clerical duties for the Chief of Public Relations
  • Serve as project manager for special district events such as Superintendents MVP Awards service award & retirement banquet etc.
  • Gather and distributes information to the general
