Title: Special Education Office Staff Assistant III
Calendar: B Year-Round
ESP Salary Schedule: Range 30 Step 1
Hours: 5.9/Day 29.5/Week
Location: District Campus
General Purpose
Responsible for providing primarily clerical assistance to the Special Education Department including collecting and tracking data of students for funding and reporting. This position will maintain inventory lists attendance sheets and equipment check-in and out. The position requires data entry typing arranging appointments preparing and checking reports preparing mailings and other duties as assigned. Excellent customer service communication and organizational skills are required.
Main Tasks and Responsibilities
- SCRAMS
- Managing and entering student data shared by teachers with the district office into state information systems.
- Google class lists (create and maintain)
- Creating and managing student data in spreadsheets that are shared with schools.
- Medication
- Administering medication to students when trained by nurses
- Customer Service
- Greet parents and stakeholders who come to the building
- Answer phones
- Prepare mailings for shipping and receiving
- Keys/Card Inventory
- Check in and out keys and cards for staff access to rooms and buildings
- Equipment check-in/out
- Use of Embrace (IEP software program) for deduplicating and data mismatch
- Managing and entering student data in the Embrace software and student information system
- Extended School Year (ESY) attendance.
- Take attendance for students in the summer program
- Assist parents with school registration for students
- Use Google Forms to create surveys for staff
- Schedule student evaluation appointments for preschool staff
- Supporting students and teachers with basic needs and questions
- Managing substitute requests and assignments in the ESS system
- Other duties as assigned
Education and Experience
- High School Diploma or equivalent
- 1 year of experience required
- Computer proficiency is required including but not limited to Google platforms
Working Conditions and Physical Requirements
- The job occasionally requires light physical exertion including walking standing motor vehicle operation and other forms of light physical activity.
- Work is carried out in an agreeable environment as generally represented by normal office conditions and little or no unpleasant elements.
- Typically involves contact with students parents teachers principal assistant principal and/or other staff members.
