Job Summary

Under the direction of the Director of Student Engagement and Leadership this position provides confidential administrative support and coordination services to the Office of Student Services by assisting with correspondence and other projects providing support and assistance to students and serving as the primary contact for the various constituencies of the college. This position is student-centered and is a point of contact for students seeking Student Services related services and ensures that students have positive interactions with the office that directly impact their academic and social engagement and retention. This is a rewarding and challenging position that requires an experienced individual who is organized detail-oriented and can multi-task effectively.

Requirements

Essential Functions:

The statements below are intended to describe the principal duties of the person or persons assigned to this job. They are not intended to be an exhaustive list of all job duties and responsibilities.

  • Coordinate and provide administrative support to the following areas: Vice-President/Dean of Student Services Student Engagement Residential Life Fraternity & Sorority Life Wellness (Counseling Health and Prevention) Safety & Security and the Center for Faith and Service delegating to other professional staff as appropriate.
  • Assist with Campus Activities Board Student Government Association Residential Advisors and/or Panhellenic & Interfraternity Council student groups as directed by Vice-President of Enrollment Management and Student Student Services Director of Residential Life Director of Student Engagement and Leadership.
  • Schedule appropriate facility spaces for campus functions activities and events. Coordinate set-up and tear-down requirements with supporting staff as required.
  • Approve Student Services spaces for reservations for events or meetings through outlook.
  • Place and process work orders and the coordination of student follow up as needed.
  • Assist VP of Enrollment Management and Student Services and Student Services staff members in supervising the daily operation of the Student Services department by scheduling meetings and appointments reserving rooms for meetings processing mail composing and editing correspondence answering the phone and serving as receptionist for students faculty staff and the community.
  • Communicate and coordinate with the Student Services staff on meetings deadlines agendas reports etc.
  • Provide exceptional customer service to students by answering questions (email in person phone calls) and providing direction/referrals to respective campus departments/resources for Student Services and Plant Operations.
  • Monitor and update the Student Services portion of the Westminster College website in coordination with the marketing department.
  • Supervise the Hunter Activity Center Gym Monitor Student Workers
  • Serve as the main point of contact for entering student information into Jenzabar which includes but is not limited to housing information mailbox information meal plans room damages conduct information and Greek affiliation.
  • Create and distribute Infomaker reports for housing grade reports etc. as needed.
  • Assist Student Services Conduct Team and works directly with Director of Residential Life in student conduct tracking/paperwork (i.e. scheduling conduct meetings drafting sanction letters following up on completion of sanctions drafting good-standing letters and communicating sanctions to students and fines to the Business Office etc.).
  • Assist with coordination and execution of orientation and new student welcome events to promote Student Services including but not limited to SOAR (Summer Orientation Advising and Registration) New Student Move-In and New Student Welcome.
  • Assist the Director of Residential Life in the housing process which includes but is not limited to assisting in processing room damages and monitoring the key inventory for residential facilities.


Job Requirements:

Education: High School diploma or GED required associate or college degree preferred.

Experience: Minimum of two years of administrative secretarial experience or equivalent. Previous experience with marketing is preferred.

Skills: Strong interpersonal and communication (oral and written) skills; proficiency in Microsoft Word Microsoft Exchange Jenzabar (Student Services and Registration modules) and Infomaker; proficiency in using general office machines i.e. multi-line phone copier and FAX machine; ability to perform general clerical duties of typing and filing; ability to maintain confidentiality; ability to work as a part of a team; ability to prioritize tasks; and ability to deal with fast-paced office environment with many interruptions.
