DSHSs Home & Community Living Administration (HCLA) WCF is hiring key team members now to assist as we move toward the full implementation of the program. The innovative work that you do now will aid qualified people and their authorized representatives to apply for and access their earned benefits that help pay for daily-living activities. As theAdministrative Assistant youwill serve as the principal assistant in administrative matters for the WA Cares Fund Deputy Director of Operations. This position directs and/or coordinates special projects as requested by the Deputy Director the incumbent assists with preparation for meetings including assembling materials and managing logistics for statewide events.
Our team is the first point of contact for this program and we are responsible for helping Washingtonians understand this new benefit.
Some of what you will do:
- Coordinates office operations maintains team calendars make travel arrangements screens prioritizes and distributes electronic and other mail transcribes minutes screens calls and visitors
- Assists in coordination organization and/or direction to support the planning and implementation of the WA Cares Fund project or program activities
- Coordinates meetings webinars and presentations
- Acts as a public point of contact at WA Cares Fund
- Prepares administrative paperwork and coordinates all processes for developing new positions and hiring including entering records into FARM coordinating positions description forms requesting recruitment projects setting up interviews and panels tracking interview questions and facilitating completion of all hiring processes
- Coordinates new employee orientation
- Supports onboarding procedures for a new and rapidly expanding program
- Prepares correspondence for WA Cares Fund Deputy Director and exercises signature authority on administrative correspondence
- Works closely with WA Cares Fund leadership team to create team culture
- Provides back-up high-level administrative support to the WA Cares Fund Executive Administrator to achieve program goals
- Other duties as assigned
Who should apply:
- High school graduation or GED
AND
- Four years of progressively responsible experience in office/clerical secretarial bookkeeping accounting or general administrative work
OR
- Formal education will substitute year-for-year experience
OR
- Four years of on-hands practical experience working in a professional office setting.
Preferred Knowledge Skills & Abilities:
- Skill and ability to use Microsoft Office effectively in everyday work (Word Excel PowerPoint Teams OneNote Visio)
- Ability to work independently to establish priorities and organize work to enable completion of tasks through exercising good judgment problem solving and managing multiple simultaneous projects of varying size complexity and urgency
- Ability to communicate and comprehend through oral and written forms of communication with management peers clients and the public
- Ability to write and prepare clear and effective reports meeting minutes agendas email correspondence and other documents
- Ability to make reasonable judgments in a complex and changing organizational environment
- Knowledge of government organization and administrative procedures office methods and procedures research and data collection and agency policies and procedures
- Ability to troubleshoot common computer software challenges
