REPORTS TO: Director of Special Education
JOB GOAL: Performs billing functions necessary to access federal and statefunds to receive funding reimbursement. Assist the Director and Associate Director of Special Education with the coordination of Speech OT and PT services of all Medicaid reimbursement programs.
PERFORMANCE RESPONSIBILITIES:
- Data entry to bill Medicaid for any service delivered including but not limited to vision private duty nursing personal care aides and administrative coding.
- Efficiently produce clean and electronically submitted Medicaid claims.
- Produce databases for Medicaid billing purposes.
- Attend district and state Medicaid meetings.
- Regularly check the Arkansas Department of Education website regarding federal funding information and facilitate the requested requirements.
- Assist in organizing and implementing other Medicaid billing procedures.
- Participate in web-based seminars and/or in-service training regarding federal and state fund reimbursement/disbursement.
- Keep current listings of district Medicaid service providers with NPI #s.
- Retain copies of all licenses and/or certificates of service providers.
- Maintain information spreadsheets and documentation of personal care aide providers for Medicaid billing.
- Compile appropriate personnel/staff/service providers for ARMAC. Manage direct train and compile data for the districts ARMAC providers and personal care billing programs in accordance with guidelines outlined by the Arkansas Medicaid Administrative Claiming (ARMAC) program.
- Maintain data collection for High Cost Registry Claims formerly catastrophic reimbursement for state reporting.
- Maintain and ensure applications are submitted for all allowable school-based Medicaid reimbursable services.
- Assist in writing federal grants.
- Arrange for annual calibration of audiology/hearing screening equipment.
- Initiate and prepare project applications related to sources for federal and state funds.
- Maintain current licenses on all therapy providers including private contractors.
- Manage and direct district-wide Medicaid billing for OT/PT/ST vision and hearing personal care and other billable services as appropriate including keeping apprised of technical audit/review procedures.
- Meet with therapy groups monthly and the Associate Director more frequently if needed to provide updates and ongoing support.
- Maintain productive relationships between therapy-related personnel central office/school administrative staff and outside education/therapy agencies.
- Establish and maintain relationships with outside/private therapy providers for contracting services as needed for program coverage and medical leaves.
- Maintain records for all Paraprofessionals including but not limited to state/district required professional development for certification.
- Assist in planning and directing in-service related to Medicaid reimbursement and the education of all related services personnel.
- Work directly with the Special Education coordinators and examiners as a liaison for therapy-related issues.
- Coordinate with outside agency facilitators to maintain accurate record-keeping for reimbursement requests.
- Maintain and/or assist with DayTx/Residential quarterly billing and reimbursements.
- Submit and/or assist with submission of the Superintendents Certification form each quarter upon completion of residential reimbursement request upon request.
- Cross-train and support with other clerical staff.
- Perform other related duties as assigned.
TERMS OF EMPLOYMENT:
Salary Range: Range 11 Support Staff Hourly Salary Schedule ($15.84/hr. - $29.03/hr. depending on relevant experience)
Length of Contract: 244 Contract Days 8 hours/day
FLSA Status: Non-exempt
