Duties and Responsibilities:
- *Serves as the daily administrative support to the Department Chairperson of the Department of Tropical Plant and Soil Sciences(TPSS) College of Tropical Agriculture and Human Resilience (CTAHR).
- *Works independently performing a wide range of complex and confidential duties reporting directly to the Department Chairperson of TPSS.
- *Serves as the administrative contact and liaison within TPSS as with all University constituents and external contacts including facility management RCUH requests FSIS requests.
- *Reviews assesses routes answers and monitors follow-up action steps on internal and external correspondence.
- *Monitors incoming and outgoing documents from onset to completion; coordinates and initiates expediting actions to include but not limited to: Monitors and maintains personnel records and files for the faculty and staff; prepares and submits personnel action forms (PAF) for faculty and staff as it relates to promotions and tenure applications contract renewals evaluations leave requests employment status and all forms required for the filing of vacant civil service positions APT faculty and graduate hires.
- *Assists in the development of college office systems and procedures policies and operations. Interprets and communicates policies and processes.
- Independently prepares and inputs fiscal and travel documents for the Department Chairperson including assisting with fiscal transactions and making travel arrangements as well as processing travel requests and completions.
- Other duties as assigned.
Minimum Qualifications:
1. Possession of a baccalaureate degree in Business Communication Liberal Arts or related fields or related field and 0 year(s) of progressively responsible professional experience with responsibilities managing the daily operations of extension and youth development programs such as events camps and outreach activities; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
2. Considerable working knowledge of principles practices and techniques in the area of youth education and development as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts principles and methodologies.
3. Considerable working knowledge and understanding of applicable federal and state laws rules regulations and theories and systems associated with youth development programs.
4. Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective innovative and timely manner.
5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing verbally and by preparation of reports and other materials.
6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team leaders and members and individuals.
7. Demonstrated ability to operate a personal computer apply word processing software and proficient in utilizing advanced computer software and digital tools for comprehensive word processing data management email communication and online research.
8. If applicable for supervisory work demonstrated ability to lead subordinates manage work priorities and projects and manage employee relations.
Supplemental Minimum Qualifications:
1. Ability to lift carry or otherwise move supplies and equipment up to 40 pounds with or without assistance or utilizing appropriate methods (e.g. carts dollies or team lifts).
Desired Qualifications:
- Independent judgment in handling public inquiries.
- Familiarity with UH fiscal and personnel management systems.
- Demonstrated ability to handle confidential and sensitive related matters including safety incidents legal documentation budgets and personnel.
