Job Overview


The Executive Assistant (EA) to the Executive Director (ED) provides high-level administrative operational and strategic support to the ED of CHEW-NJPHI. This role is critical to ensuring the effectiveness efficiency and alignment of executive operations across a fast-paced mission-driven organization. The EA serves as a trusted partner to the ED helping to manage priorities coordinate internal and external engagements support board and stakeholder communications and ensure seamless execution of key initiatives. This role requires sound judgment discretion strong organizational skills and the ability to anticipate needs in a dynamic environment.

Key Responsibilities:

Executive & Strategic Support

  • Manage the Executive Directors calendar priorities and scheduling across internal external and stakeholder engagements.
  • Anticipate needs and proactively prepare briefings materials and follow-up items for meetings events and decision-making.
  • Support prioritization and time management aligned with CHEW-NJPHIs strategic goals while drafting editing and managing high-level communications including emails memos and presentations.

Board & Governance Coordination

  • Coordinate Board of Directors meetings and materials preparation.
  • Support the development of board reports including Mission and Program Updates Operations and Risk and Challenge reporting.
  • Maintain board records documentation and follow-up actions to ensure effective governance and communication.

Operations & Program Coordination

  • Serve as a liaison between the Executive Director and internal team members to ensure alignment communication and follow-through across initiatives.
  • Track key initiatives deliverables and deadlines across programs and partnerships while supporting coordination of cross-functional meetings and stakeholder convenings.
  • Assist with logistics for convenings webinars and statewide engagements.

External Relations & Stakeholder Engagement

  • Serve as a first point of contact for external partners including government healthcare nonprofit and philanthropic stakeholders.
  • Coordinate stakeholder outreach meeting scheduling and communications while supporting partnership development through organized materials engagement tracking and timely follow-up.

Administrative & Organizational Excellence

  • Maintain organized systems for documents communications and workflows to support operational efficiency.
  • Support expense tracking travel coordination and administrative processes while ensuring confidentiality and professionalism in handling sensitive information.

Requirements:

  • Bachelors degree or equivalent experience required. Minimum of 5 years of experience supporting senior executives preferably within healthcare public health nonprofit or government settings.
  • Demonstrated exceptional organizational time management and multitasking skills along with strong written and verbal communication abilities that reflect a professional and polished tone.
  • Ability to exercise a high level of discretion judgment and professionalism while working independently in a remote environment and managing multiple priorities.

Preferred Qualifications

  • Experience supporting executive leadership within a mission driven or public health organization preferred.
  • Familiarity with New Jerseys health policy or nonprofit landscape as well as experience supporting boards or governance processes is highly valued.
  • Proficiency in Microsoft Office Suite virtual meeting platforms and project management tools preferred.

Additional Information

  • Base rate: $55000 - $70000 (salary is commensurate with experience and qualifications)
  • Bilingual Rate: An additional $3120 added to the base rate if Spanish proficient.
  • This is a remote position
