Conference Services Manager (Full-Time, 14-Month Contract))
Job Summary
Reporting to the Director Conference Services responsibilities and essential job functions include but are not limited to the following:
- Consistently offer professional friendly and engaging service
- Confirm all event related information with clients for files of twenty-five (25) peak rooms or more
- Establish and maintain rapport with clients prior to during and post conference encouraging repeat business
- Responsible for following the Fairmont Conference Service Essential Standards
- Creating Group resumes for all assigned groups and communicating to all operational departments.
- Creating and editing event orders managing guestroom contracted blocks and reservations reviewing rooming lists.
- Following all contracted dates and timelines for Event details Guestroom block cut-off dates and evaluating financial event expectations
- Create floor plans for each event to ensure banquets and clients are in agreement prior to set up
- Initiate billing procedures ensuring any deposits and/or credit applications are received with adequate information and within an acceptable time frame
- Conduct pre-conference meetings with clients and pertinent departments to confirm all relevant details are communicated
- Conduct and/or attend daily meeting to review event contracts and ensure last minute changes are communicated with appropriate departments
- Follow departmental policies and procedures
- Follow all safety policies
- Part of Leadership team
- Flexibility of work schedule: based on group requirements: evenings weekends and holidays
- Other duties as assigned
Qualifications :
- Previous leadership experience within a similar role required
- Minimum of three (3) years experience in hotel catering and conference planning
- Additional experience in the hospitality industry i.e. sales an asset.
- Good understanding of the luxury hotel market
- Excellent customer skills superior interpersonal skills results-oriented and highly motivated
- Proven ability to plan and execute events effectively with a strong attention to detail
- Strong Knowledge of Opera Sales and Catering program
- Microsoft Office Software computer literacy required
- Strong written and verbal communication skills in English and French
