Job Summary

Lifekind Health is looking for a full-time Scheduling Coordinatorat our Surgical Center in Cathedral City to serve as the primary point of contact for patients surgeons referring providers and insurance carriers. This role is essential to the smooth efficient and compliant operation of the front office and scheduling functions of a fast-paced pain management ambulatory surgery center (ASC).

Front Desk Operations & Patient Interaction:

  • Patient check-in and check-out
  • Welcome patients verify demographics and insurance obtain required consents collect payments ensureprevisitdocumentation is complete
  • Schedulefollowupcare provide clear visit instructions
  • Accurately maintain EHR and practice management records to support efficientpatientcenteredoperations

Procedure & Appointment Scheduling:

  • Coordinate and manage clinic and procedural scheduling by accurately booking pain management procedures and appointments in the EHR
  • Verify codes and resources securing required documentation and authorizations
  • Communicate pre and postprocedureinstructions to patients
  • Maintainrealtimeschedule updates manage waitlists and confirmations
  • Collaborate with providers anesthesia vendors and clinical staff to ensure smooth operations

Insurance Eligibility & Prior Authorization

  • Verify insurance eligibility and benefits manage coordination of benefits
  • Communicatefinancial responsibilityto patients
  • Proactivelyidentifycoverage issuesin compliance withpayerspecificrequirements to ensuretimelyaccess to care andaccuratereimbursement

Patient Chart Preparation & EHR Management

  • Prepare and maintain complete accurate patient charts by proactively reviewing records prior to visits and procedures resolving documentation gaps
  • Ensure required clinical scheduling and authorization details are present
  • Consistently update audit and safeguard EHR data in compliance with Center standards and HIPAA requirements

Communication & Patient Relations

  • Manage allfrontofficecommunications by answering and returning calls promptly
  • Coordinate scheduling changes serving as a liaison between patients providers referring offices and vendors
  • Address patient concerns with professionalism and empathy documenting all interactions in the EHR
  • Maintain a welcoming organized reception environment

Compliance Privacy & Administrative Duties

  • Ensure regulatory compliance and smooth daily operations by adhering to HIPAA and Center policies
  • Open and prepare the front office for patient care maintain organized administrative records
  • Distribute daily clinic and surgery schedules
  • Assist with medical records requests
  • Participate in training and process improvement efforts

Our Ideal Candidate will have the following qualifications:

  • High school diploma or equivalent required
  • Two (2) to three (3) years of medical office or ASC scheduling/administrative experiencepreferred
  • Proficiencyin insurance eligibility prior authorizations and payer portal navigation across multiple payer types (commercial Medicare Medi-Cal) preferred
  • Basicproficiencywith computers and scheduling systems
  • Strong organizational and time-management skills
  • Excellent customer service and communication abilities
  • Experience with pain management orthopedic or surgical ASC scheduling strongly preferred
  • Experience training mentoring or informally leading peers preferred
