About US
We are a tech-forward insurance brokerage specializing in the entertainment sports and recreation sectors. Through our proprietary digital platform we provide Instant Insurance for high-stakes industries. Because our platform processes a massive volume of real-time transactions we require a specialized professional to manage the dual demands of high-speed data entry and complex financial reconciliation.
The Role
This is a high-impact hybrid role designed for a candidate who is equally comfortable with the steady hand of manual data entry and the critical eye of financial auditing. You will spend roughly 50% of your time ensuring our internal systems are populated with accurate policy data and the other 50% verifying that those figures match our bank and carrier records.
Key Responsibilities
1. Data Entry & System Maintenance (50%)
- Policy Integration: Manually input and update policy details endorsements and renewals from carrier portals into our internal Agency Management System (AMS).
- Document Management: Upload and categorize digital insurance documents ensuring all client files are complete and audit-ready.
- Database Cleanup: Perform regular audits of client records to correct formatting errors missing data points or duplicate entries to maintain clean data for the sales team
2. Accounting Reconciliation (50%)
- Daily Transaction Auditing: Reconcile daily digital premium payments against bank deposits to ensure all Instant Insurance transactions were captured correctly.
- Carrier Statement Matching: Compare monthly insurance carrier statements against internal data to identify discrepancies in premiums taxes and fees.
- Commission Verification: Enter and reconcile incoming commission statements flagging any underpayments or overpayments for resolution.
- Error Investigation: Act as a financial detective to track down missing payments or mismatched data between our proprietary platform and third-party vendors.
Required Qualifications
- Experience: 3 years in an accounting-heavy administrative role. Experience in Insurance Real Estate or E-commerce is highly preferred.
- Technical Skills: * Data Entry: Proven ability to maintain high speed and 100% accuracy in repetitive data-entry tasks.
- Excel Mastery: Proficiency with Pivot Tables and VLOOKUPs to compare large datasets.
- Organizational Skills: The ability to switch gears between mindless data tasks and mindful financial analysis without losing focus.
- Software Experience: Familiarity with QuickBooks Online or specialized insurance software (AMS360 Applied etc.) is a major plus.
Personal Attributes
- Process-Oriented: You enjoy creating checklists and finding more efficient ways to get through a stack of data.
- Detail-Obsessed: You are the person who notices the one-cent discrepancy in a $10000 statement.
- Reliable: You understand that the sales and claims teams depend on your data being current and correct.
