Summary: The Admissions Associate will work in conjunction with the Director of Admissions to support the work of recruitment and managing the enrollment needs for the school.
- Recruitment: With the Director of Admissions develops recruitment strategies and assists with the Annual Recruitment Plan
- Direct responsibility for coordinating and organizing the following outreach programs: 8th Grade Shadow Program 7th Grade LEAD Program
- Schedules and implements the junior high classroom visit program
- Conducts parent and student tours as needed
- Manage the recruitment and training of student Ambassadors
- Supports the planning coordination and organization of recruitment events such as: Virtual and In-Person Information Nights Open House Eighth Grade Day Seventh Grade Preview Afternoons LEAD reception and any other targeted recruiting events
- Trains faculty staff and parent volunteers for recruitment events
- Aligns admissions marketing efforts with the school-wide branding and marketing strategy and collaborates with director and Marcom team on admissions collateral
- Admissions: With the Director of Admissions supports the admissions process of applicants
- Evaluates eighth grade and transfer student applicants
- Prepares freshman applicant files with proposed decisions to the Admissions Committee
- Prepares transfer applicant files with proposed decisions to the Admissions Committee
- Supports the planning coordination and organization of admissions events such as the High School Placement test Admitted Family Welcome Event(s) and any other targeted admissions events
- Onboarding: With the Director of Admissions supports the enrollment and onboarding process of accepted students
- With the Director of Admissions responsibility for planning coordinating and organizing the retention events such as Freshman Family Welcome Day Freshman Orientation and retention efforts for other targeted groups such as honors students or other targeted populations
- Manages applicant case management (eighth grade and transfer students) as agreed upon with Director of Admissions
- Monitor enrollment and waiting list needs
- Public Relations: With the Director of Admissions markets Notre Dame to prospective families and students and engages with relevant audiences
- Supports the Junior High Outreach program in collaboration with program directors and club moderators such as Lighthouse when that program is active
- Develops relationships with middle school teachers and administrators and provides excellent customer service to school personnel.
- Provide excellent customer service to prospective families during the admissions experience and contribute to generating a culture of customer service institution wide.
- Information Management: Manage the admissions database
- Maintains an accurate database
- Populates prospective student information
- Manages the database of applicants
- Supports information gathering and statistical analysis needs for the school
- Assists with the development and maintenance of the annual enrollment report for the Administrative Team and the Board of Directors
- Department Management:
- In the absence of the Director of Admissions will be responsible for admissions affairs.
- Supervises interns throughout the day
- Manages and maintains inventory of admissions materials
- Assists with maintenance of the admissions budget
Qualifications
Minimum Qualifications:
- Bachelors degree
- Ability to drive school vehicles that transport students to and from admissions events
- Excellent organization skills
- Attention to detail for accuracy
- Strong communication skills and comfort with public speaking including the ability to articulate the mission and impact of the school to various constituents
- Commitment to customer service
- Empathetic listening skills
- Collaborative team player must be able to work with all Notre Dame constituencies: administration faculty and staff students parents and prospective Notre Dame families junior high school personnel and the Office of Education of the San Jose Diocese
- Proficiency with technology
- Growth mindset and desire to learn new things
Preferred Qualifications:
- Strong ability to manipulate and analyze data/statistics
- Comfort with public speaking
- Experience with event planning
- Multilingual is desired
Terms of Employment:
- 2026-27academic year
