Job Summary
BETA Group Inc. a leading engineering planning and landscape architecture firm in New England is seeking a highly organized and proactive Marketing and Business Development professional to support and enhance the firms growth initiatives. This role plays a key part in managing the firms event strategy and maintaining the integrity of its CRM system ensuring alignment between marketing efforts and business development goals. Responsibilities include leading the planning and execution of strategic industry events and managing client and pursuit data. The ideal candidate brings a strong attention to detail a strategic mindset and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities:
Event Strategy & Management
- Lead the strategic planning and execution of the firms comprehensive event portfolio including conferences trade shows networking events and booth activations ensuring alignment with business development and brand objectives
- Drive program and conference management initiatives by partnering with leadership and marketing teams to define clear goals target audiences and messaging that maximize visibility engagement and ROI
- Develop and execute tradeshow strategy including event selection positioning and presence optimization to strengthen market positioning and competitive differentiation
- Facilitate pre-event strategy sessions to align internal stakeholders on objectives key messaging roles and success metrics ensuring a unified and impactful presence
- Oversee end-to-end event logistics including registrations staffing plans booth design and coordination and on-site execution delivering seamless high-quality experiences
- Manage vendor and stakeholder relationships serving as the primary point of contact to ensure alignment accountability and successful delivery of all event components
- Lead virtual and hybrid event execution leveraging technology and best practices to deliver engaging and effective digital and in-person experiences
- Maintain a comprehensive event calendar and tracking system to monitor deadlines deliverables participation and staff involvement across all initiatives
- Ensure all marketing collateral branded materials and digital assets are strategically aligned and prepared to support event objectives
- Provide budget oversight including forecasting expense management and reconciliation ensuring cost-effective execution and adherence to financial goals
- Coordinate internal approvals and manage documentation for event-related expenses sponsorships and registrations with accuracy and efficiency
- Identify and secure strategic opportunities for speaking engagements sponsorships and elevated brand visibility at key industry events
- Oversee sponsorship execution ensuring all benefits are fully leveraged deliverables are met and brand presence is maximized
- Lead post-event evaluations including debriefs performance analysis and insight gathering to continuously refine and strengthen event strategy
- Establish and manage processes for tracking event-generated leads and ensuring timely follow-up in collaboration with business development teams
CRM & Marketing Database Management
- Lead the strategic management and optimization of the firms CRM platform transforming it into a centralized tool for relationship intelligence pipeline visibility and business development performance
- Partner with business development and marketing leadership to track analyze and advance active pursuits ensuring visibility into opportunity status key stakeholders and next steps while proactively identifying gaps and future opportunities across the pipeline
- Oversee the integration of event-generated leads and campaign engagement data ensuring insights are captured segmented and leveraged to inform targeted follow-up and long-term relationship development
- Design and implement lead and opportunity tracking frameworks that drive accountability streamline follow-up and support the progression of prospects from initial engagement through conversion
- Translate CRM data into actionable insights by monitoring pipeline health engagement trends and pursuit outcomes enabling more informed decision-making and strategic prioritization
- Collaborate cross-functionally to ensure consistent adoption and effective use of CRM tools and processes strengthening alignment between marketing business development and technical teams

Location:
Preferred location is BETAs Lincoln RI office. Candidates should have flexibility to work from our other office locations. BETA also offers a hybrid work schedule allowing employees to request working remotely up to 2 days per week.
Required Experience/Skills:
- 10 years of event coordination or marketing roles (preferably in professional services or A/E/C industry)
- Strong organizational skills and attention to detail
- Ability to manage multiple projects and deadlines simultaneously
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint)
- Excellent communication and interpersonal skills
- Ability to work independently while collaborating with multiple departments
Preferred Experience/Skills:
- Familiarity with CRM platforms and Adobe Creative Suite is a plus
- Experience with Vantagepoint a plus
